Position Overview


The Firm is seeking a motivated and detail-oriented Legal Assistant to join our team. This position will ideally provide comprehensive support across legal document preparation, client communications, billing administration, and social media management. The ideal candidate will possess strong organizational skills, excellent written and verbal communication abilities, and the capacity to manage multiple priorities in a fast-paced legal environment.


Key Responsibilities


Legal Document Support

•      Assist attorneys with drafting, editing, and formatting legal documents including pleadings, motions, briefs, correspondence, contracts, and discovery materials

•      Proofread legal documents for accuracy, grammar, and compliance with court rules and firm standards

•      Prepare and file court documents in accordance with federal, state, and local court requirements

•      Maintain document management systems and ensure proper version control


Client Communications

•      Serve as a point of contact for client inquiries via phone, email, and in-person meetings

•      Communicate case updates, appointment confirmations, and document requests to clients in a professional and timely manner

•      Coordinate client meetings and prepare necessary materials

•      Maintain confidentiality and handle sensitive client information with discretion

•      Respond to routine client questions and escalate complex matters to attorneys


Billing and Invoicing

•      Prepare and send client invoices accurately and on schedule

•      Track billable hours and expenses 

•      Follow up on outstanding invoices and coordinate with clients regarding payment inquiries

•      Process payments 


Social Media Management

•      Develop and implement social media content calendars for the firm's professional platforms

•      Create, edit, and post engaging content that highlights firm achievements, legal insights, and community involvement

•      Monitor social media channels and respond to inquiries in a professional manner

•      Track engagement metrics and provide reports on social media performance

•      Ensure all content complies with professional responsibility rules and ethical guidelines governing attorney advertising


General Administrative Support

•      Manage attorney calendars, schedule appointments, and coordinate meetings

•      Organize and maintain filing systems

•      Order office supplies and manage inventory

•      Perform other duties as assigned


Qualifications


Required

•      Bachelor's Degree required from a four year college or university

•      A minimum of two years of experience in a legal assistant, paralegal, or administrative role in a law firm or legal department

•      Proficiency in Microsoft Office Suite (Word, Excel, Outlook, PowerPoint)

•      Strong written and verbal communication skills

•      Excellent organizational and time-management abilities

•      Ability to work independently and collaboratively in a team environment

•      High attention to detail and accuracy

•      Professional demeanor and strong interpersonal skills

•      Ability to handle confidential information with discretion

•      Willing to learn, develop, and grow

Preferred

•      Familiarity with legal practice management software such as Clio and Lexis

•      Experience with document management systems

•      Knowledge of court e-filing procedures and platforms

•      Experience managing professional social media accounts 

•      Basic graphic design skills using tools such as Canva or Adobe Creative Suite

•      Understanding of legal terminology and court procedures

•      Notary Public commission or willingness to obtain
