Position Summary

Esaote North America is seeking a detail-oriented and dependable Part-Time Payroll Specialist & Human Resources Assistant to support the accurate and timely processing of biweekly payroll and provide administrative support across key Human Resources functions.

This position is ideal for an experienced payroll professional who enjoys working in a smaller organization, managing a variety of responsibilities, and providing responsive support to employees and managers. The successful candidate will have strong payroll knowledge, excellent organizational skills, a high level of discretion, and the ability to independently manage deadlines.

The Payroll Specialist & HR Assistant will support a workforce of fewer than 100 employees, including employees working across multiple states and in remote, field-based, and office-based positions.


Essential Duties and Responsibilities

Payroll Administration

  • Coordinate and process accurate, timely biweekly payroll for employees located in multiple states.
  • Review employee timecards, paid time off, commissions, bonuses, deductions, reimbursements, and other payroll-related information before each payroll submission.
  • Verify employee pay rates, hours, benefit deductions, tax withholdings, garnishments, and other payroll adjustments.
  • Process payroll changes related to new hires, terminations, promotions, transfers, compensation changes, leaves of absence, and benefit elections.
  • Identify and resolve payroll discrepancies in partnership with employees, managers, Human Resources, Finance, and the payroll provider.
  • Maintain payroll calendars, processing checklists, reports, and supporting documentation.
  • Review payroll reports for accuracy and obtain required approvals before payroll is finalized.
  • Support quarterly and year-end payroll activities, including W-2 review, payroll reconciliation, and employee tax form inquiries.
  • Assist with payroll-related audits, and other compliance requests.
  • Maintain confidentiality and safeguard employee payroll, banking, tax, and personal information.
  • Stay informed of applicable federal, state, and local payroll requirements affecting a multi-state workforce.

Human Resources Administration

  • Enter and maintain accurate employee information in the HRIS, payroll, benefits, and related systems.
  • Support employee onboarding and offboarding activities, including forms, system access, benefit information, and personnel file documentation.
  • Maintain organized, accurate, and confidential electronic personnel records.
  • Assist with benefit enrollment, employee status changes, qualifying life events, and employee benefit questions.
  • Track required employee documentation, acknowledgments, training records, licenses, certifications, and policy forms.
  • Assist with employment verifications, background checks, unemployment requests, and routine employee inquiries.
  • Provide administrative support for recruiting, including posting positions, coordinating interviews, communicating with candidates, and preparing offer documentation.
  • Support annual HR processes such as open enrollment, performance reviews, compensation updates, policy acknowledgments, and employee communications.
  • Assist with HR reporting, audits, compliance tracking, and special projects.
  • Help identify opportunities to simplify payroll and HR administrative processes while maintaining accuracy and compliance.
  • Provide courteous, timely, and professional support to employees and managers.

Required Qualifications

  • Associate degree in Accounting, Business Administration, Human Resources, or a related field, or an equivalent combination of education and relevant experience.
  • At least three years of hands-on payroll processing experience.
  • Experience independently processing or coordinating biweekly payroll.
  • Experience supporting payroll for employees located in multiple states.
  • Working knowledge of payroll taxes, wage and hour requirements, deductions, garnishments, and payroll recordkeeping.
  • Experience working with payroll, HRIS, timekeeping, and benefits administration systems.
  • Proficiency with Microsoft Excel, including formulas, sorting, filtering, and reconciling data.
  • Strong attention to detail and demonstrated ability to identify discrepancies.
  • Ability to manage recurring deadlines and prioritize multiple responsibilities.
  • Strong written and verbal communication skills.
  • Ability to handle confidential and sensitive information with professionalism and discretion.
  • Ability to work independently while collaborating effectively with Human Resources, Finance, managers, and employees.

Preferred Qualifications

  • Experience working in a small or mid-sized organization with fewer than 200 employees.
  • Experience with ADP, Paylocity, Paycom, or a comparable payroll and HRIS platform.
  • Experience supporting a remote or geographically dispersed workforce.
  • Experience with employee benefits administration and HR compliance.
  • Fundamental Payroll Certification, Certified Payroll Professional certification, or SHRM credential.
  • Experience in the medical device, healthcare, manufacturing, sales, or service industry.

Work Schedule

This is a part-time position requiring approximately 20–25 hours per week. The schedule may be flexible; however, the employee must be available during designated payroll processing days and other critical payroll deadlines.

Additional hours may occasionally be required during year-end payroll processing, open enrollment, audits, or other peak periods.


Compensation

The anticipated hourly pay range for this position is $27 to $32 per hour, depending on experience, qualifications, and payroll expertise. Eligibility for benefits will be determined based on the employee’s regularly scheduled hours and the terms of the applicable benefit plans.
