Description
Role Overview As the Part-Time Event Specialist, you will be the lead executor for our brand's physical presence. You are responsible for transforming our marketing goals into high-impact live experiences, ranging from large-scale industry trade shows to intimate, high-stakes client appreciation events. You will manage the event process from vendor and venue proposal to on-site logistics-ensuring every touchpoint reflects our brand's excellence and safety standards.
Responsibilities
  • Event Planning & Execution: Support and coordinate strategic client visits, appreciation events, and our flagship annual Rently Summit.
  • Trade Show Support: Coordinate all logistics for in-booth catering and entertainment.
  • Inventory and Swag Management: Track and maintain marketing material and swag inventory via Almaden and other third-party vendors. Support manager with shipping materials to and from events.
  • Vendor & Venue Procurement: Research, vet, and bid out vendors and venues (e.g., bartenders, photographers, entertainment, rentals) to present to senior management for final approval to ensure high-quality service within budget.
  • Staff Preparation: Brief booth staff and attendees to ensure team members are equipped with event details and deadlines, and have up-to-date marketing materials, display products, and strategic talking points.
  • Compliance & Safety: Ensure all events are fully compliant with insurance, legal, health, and safety obligations to mitigate risk.
  • On-Site Management: Travel to events to provide hands-on assistance, manage vendor relations in real-time, and troubleshoot any issues that arise during the event.

  • Operational Excellence: Exceptional organizational and time management skills, with a proven ability to multitask under tight deadlines.
  • Problem Solving: A calm, "boots-on-the-ground" troubleshooter who can handle high-pressure situations and unexpected issues on event day.
  • Communication & Negotiation: Strong interpersonal skills for managing vendor relationships, bidding processes, and internal stakeholder expectations.
  • Flexibility: Ability to travel as needed and work extended or non-traditional hours to accommodate event schedules.

  • Physical Requirements: Able to lift 25+ lbs. and stand for 4-8 hours at a time
Education & Experience
  • Experience: 2+ years of professional event planning experience, specifically within corporate events and trade shows.
  • Portfolio: A documented portfolio of previously hosted events is highly preferred to demonstrate scale and quality.
  • Technical Logistics: Hands-on experience managing show services, labor, and rigging requirements.
  • Travel Requirements: Willingness to occasionally travel to event locations to oversee setup and execution (expected 2-4 times/year).

For applicants located in California, the expected hourly rate for this part-time role is $31.00 per hour. Please note that this rate reflects base pay only and does not include the value of a total compensation package (such as benefits or other incentives).
