POSITION DESCRIPTION
FUNCTIONAL TITLE: Communication Specialist
REPORTS TO: Director of Community Services and Grant Management
JOB CATEGORY III: Tasks that involve no exposure to blood, body fluids, or tissues, and Category I tasks are not a condition for employment.
STATUS: Part time Non-Exempt
POSITION SUMMARY
The Communication Specialist is selected by and reports to the Director of Community Services and Grant Management. Under general supervision of the Director of Community Services and Grant Management, this position provides marketing and communication support to the overall clinic and its employees. This position works closely and under the guidance of the contracted Media Relations Consultant. The Communications Specialist aids with the creation and implementation of various media strategies, marketing and media projects, communications to employees and general/administrative support duties as required to achieve organizational goals for both Special Projects and Marketing. The position is a part-time position that works more than 25 hours per week.
The Communication Specialist functions as a member of a collaborative health care team to create and maintain a Patient Centered Medical Home where emphasis is on excellent communication; support of the patient is provided and tracked in a culturally competent, behaviorally enhanced setting supported by information technology.
Due to the nature of NHHC services, it may become necessary to require employees to travel from site to site, work a variation of the usual shift to ensure adequate care of patients and to support services to the community, while maintaining the maximum worked hours 25 hours per week.
KEY RESPONSIBILITIES
• Must be professional in dealing with employees, patients, and the public via personal and telephone contacts. Demonstrates positive attitude with good eye contact, pleasant voice, attentive and responsive to the organization's needs.
• Assist the Media Relations Consultant with the development and execution of the health center's marketing strategies.
• Create-newsletters, program emails for license renewals, assist in set up of presentations and recording for GSMs, Organizational Orientations, special employee events and assists in communication of these and all events.
• Assists in marketing health center events for all departments through various types of media.
• Provide administrative support by coordinating internal communications to all employees through email, Engage, Teams and other forms of internal communications.
• Prepares for General Staff meetings by setting up final presentations on PC, setting up PC and projectors, testing for meeting, record of meetings, and creates the meeting recap.
• Creates Program Evaluation for Departmental Orientation and creates link for HR staff to access responses.
• Monitor, support social media campaign reach and digital media advertisement by monitoring engagement across various social media platforms (Facebook Twitter, LinkedIn, Indeed, etc.).
• Assist the Marketing Contractor with the development and execution of the company's marketing strategies to include but not limited to events and other promotional activities.
• Maintains and monitors social media and assist digital advertisement and promotion of NHHC events.
• Maintain and update special employee events on UKG under Announcements and Events.
• Maintain and updates the NHHC website as needed.
• Photography responsibilities include taking photos of all company events, luncheons, farewells, retirements, keeping management photos updated on websites, and tracking all photos for future reference.
• Ensure consistency in brand tonality and layout for marketing collaterals through tailored messaging and design.
• Support the Media and special teams with all staff communications through emails, flyers, all forms of communications, telephone, and processing any necessary invoices applicable to both areas.
• Administrative support to the Media and Special Projects
• Maintain proper filing system for work associated with each area of responsibility.
• Make copies, create packets, faxes, scans documents, orders, and keep supplies.
• Prepare reports assigned, update bulletin boards through clinics, and other general office duties to support areas of responsibility.
• Prepare policies and procedures in areas of responsibility as assigned.
• Must dress professionally in business casual attire and abides by NHHC dress code policy.
• Abides by regulations, protocols, and policies per the NHHC Employee Handbook, Code of Conduct, and Safety Policies.
• Other duties and general office tasks as required to achieve departmental and organization goals.
Requirements
JOB SPECIFICATIONS
Education and Experience:
• High School Diploma.
• Interest in administrative work and pursuing a degree in medical, administration, Communications or related filed preferred.
• On the job training.
• Computer and other technology savvy.
• Proficient in Microsoft Office including Word, Excel, Access, Publisher.
• Bilingual preferred.
• Available transportation preferred; active TX driver's license and liability msurance.
Knowledge, Skills, and Abilities:
• Must be able to maintain confidentiality at all times and maintain a mature attitude.
• Ability to multi-task and meet the demands and disruptions and still stay calm under pressure.
• Ability to communicate orally and in writing in English and Spanish.
• Ability to conform to established center's policies and procedures.
• Ability to work under little supervision, stay on task, and attention to detail.
• Knowledge of general office procedures.
• Skills in keyboarding 50 to 60 words wpm.
