Job Description

Finance Secretary/Receptionist

 

Purpose:  This primary focus of this position is to coordinate and maintain all financial activities of the church.  Additionally, this position will answer phones, greet guests and congregants, assist with administrative duties and to maintain the membership database of the church. 

Primary Duties:

·         Financial

o   Coordinate, maintain and monitor all financial activities of the church including accounts receivable, accounts payable, annual budget, payroll, payroll taxes, bank deposits, investment accounts, credit card and reports of financial audit.

o   Post contributions from Sunday service as well as donations made through the on-line system.

o   Collect funds for other items, such as facility rental, flowers, and other payments to ensure proper receipt, documentation, and processing for deposit.

o   Perform payroll function and produce payroll related reports to include IRS form 941 and W-2 processing.

o   Participate in budget and stewardship processes.

o   Perform monthly and year-end close activities.  Interface with external auditors as required.

o   Reconcile credit card account.

o   Mail notes of receipt acknowledgement for special giving such as memorials.

o   Assist with Charge Conference Annual Report.

o   Maintain internal controls in compliance with Capleville United Methodist policy, Book of Discipline, IRS regulations and GAAP.

o   Serve as a member of the finance committee.  Provide reports as required to finance committee as well as other committees, such as Trustees.

 

·         Administration

o   Greet guests and congregants.

o   Order flowers weekly based on flower calendar.

o   Produce mailing labels for staff.

o   Sort mail.

o   Maintain church-wide calendar.

o   Assist with preparation of weekly Power Point presentation and bulletins for service.

o   Maintain Safe Sanctuary files.

o   Order office supplies as needed.

·         Membership

o   Maintain membership database ensuring data integrity.

o   Maintain manual membership roster.

o   Enter vital information on membership on database (i.e., births, baptisms, confirmands, marriages, deaths, etc.)

o   Enter address changes.

o   Post Sunday School and service attendance.

o   Notify other churches when someone joins our church.

o   Provide membership reports as requested by leadership and assist with preparation of Charge Conference Annual Report.

 

Qualifications:

·         Committed in the Christian faith

·         Experience in a multi-task environment.

·         Proficient in Microsoft Office products (Word, Excel,  Power Point)

·         Possess typing, data management and proofreading skills.

·         Strong attention to detail.

·         Ability to maintain confidentiality.

·         Excellent interpersonal and communications skills.

·         College education and financial experience a plus.

 

Time Required:  Part-time – 24  hours per week.  Monday – Thursday 8:00am – 2:00pm

Supervision:  Pastor

FLSA Status:  non-exempt
