St. Edward Catholic Parish, in Pembroke Pines, Florida, is now hiring for a full-time Parish Receptionist / Administrative Assistant. This position seeks someone that will reflect the best of the Catholic Church by offering a warm and welcoming first-point-of-contact experience to anyone coming to St. Edward's Parish. This position must represent the best face of the Church. The candidate will be responsible for welcoming people, helping, and assisting them with general inquiries, parish registrations, and answering and greeting callers by assisting and directing them to the appropriate staff member. This position works in an atmosphere of Stewardship as a Way of Life to better assist those who are entering the parish for the first time seeking an encounter with God, as well as existing parishioners who are renewing their stewardship commitment. The candidate performs all duties and responsibilities in alignment with the Catholic Archdiocese of Miami.
Schedule: Monday- Friday, 8:30 a.m.- 5:30 p.m.
Responsibilities:
  • Provide exemplary customer service to employees and others who contact St. Edward Catholic Church by phone or in person, assess their needs, and direct them to the appropriate department.
  • Embraces a warm and welcoming sense of hospitality and professionalism.
  • Provide callers and visitors with answers to basic questions on operations, office locations and schedules, or document and transmit concerns to appropriate staff member.
  • Perform clerical duties such as data input, preparing mailings, accepting and distributing packages, reviewing voicemail, and receiving Parish mail.
  • Record and process Mass intentions in the database.
  • Maintain database of parishioner registrations and contributions and enter the weekly contributions into the ParishSOFT software.
  • Prepare the quarterly transmission of parishioner data to the envelope company.
  • Become familiar with basic terminology, titles of personnel of the Catholic Church, and ministries in the Archdiocese to better relay messages and policies.
  • Maintain contact information with resources outside of the Parish (i.e., Catholic Charities for people seeking immediate direct services.) that can be helpful to those in need.
  • Develop knowledge of the Archdiocese of Miami's offices and services.
  • Present a positive, professional, business-like image when representing St. Edward Catholic Church.
  • Respect the confidentiality of information acquired through the role within St. Edward Catholic Church.
  • Other duties may be assigned.
Qualifications:
  • High School diploma or GED and three years administrative experience in a customer-service environment.
  • Preferred: Post-secondary college or business-school education and three years of experience in a customer-service environment.
  • Familiarity with the Archdiocesan website.
  • Knowledge of basic tenets of the Catholic Church, its hierarchical structure, and entities.
  • Excellent human relations and service skills including the ability to maintain focus on and professionalism in challenging situations, both in person and by phone.
  • Must be able to multi-task with a high level of accuracy in an environment of simultaneous callers and visitors.
  • Ability to type at least 50 wpm with 90% accuracy.
  • Proficiency in computer literacy, including ability to navigate search engines effectively to locate information for callers.
  • Proficiency in MS Outlook, MS Word, and MS Excel, and knowledge of MS PowerPoint.
  • Good oral and written English-language communication skills, including clear speaking voice.
  • Good Spanish-language oral and written communication skills required.
  • Experience in a Roman Catholic environment strongly preferred.
