Salary:

Gibraltar is seeking a professional, organized, and customer-focused Part Time Receptionist/Administrative Assistant to support daily office operations and serve as a welcoming first point of contact for visitors, customers, vendors, and callers.


Schedule: This is a part-time position, approximately 2427 hours per week. The anticipated schedule is Monday through Thursday, 9:00 a.m. to 3:30 p.m., and Friday, 9:00 a.m. to noon, with some flexibility based on candidate needs.


Position Summary

The Receptionist & Administrative Assistant provides office, administrative, and customer service support to help ensure efficient daily operations. This role supports customer service and production scheduling activities, maintains office systems and supplies, prepares business documents, and assists leadership with administrative projects.


Key Responsibilities

  • Welcome visitors and provide professional assistance to customers, vendors, and incoming callers.
  • Coordinate incoming and outgoing mail, packages, office supplies, equipment service, and general office needs.
  • Help prepare and update routine office documents, forms, spreadsheets, and other materials.
  • Maintain electronic and paper filing systems, customer files, and company records.
  • Assist customers with routine inquiries and support timely follow-up with appropriate departments.
  • Support order processing activities, order acknowledgements, delivery tickets, packing slips, and related documentation.
  • Enter and maintain accurate information in company systems, including ERP or business management software.
  • Support scheduling and coordination between customer service, production, and shipping teams.


Qualifications

  • High school diploma or equivalent required.
  • Minimum of 2 years of related administrative, office, customer service, or similar experience preferred.
  • Strong organizational skills, attention to detail, and ability to manage multiple priorities.
  • Excellent verbal and written communication skills with a professional and positive demeanor.
  • Strong customer service orientation and ability to work effectively with internal and external contacts.
  • Proficiency with Microsoft Office, including Outlook, Word, Excel, and Teams.
  • Experience with ERP, CRM, or other business management software preferred.
  • Ability to maintain confidentiality, exercise discretion, and learn new systems quickly.
