Description

The Coordinator, Shipping and Receiving is responsible for managing and distributing mail within an organization. This role is essential for ensuring smooth communication and efficient mail handling within our organization.  


Essential Duties and Responsibilities: 

  • Collect incoming mail from postal workers, sort it by departments, and distribute it accordingly.  
  • Maintain an organized and clean mail room. 
  • Prepare and dispatch outgoing mail, including weighing packages, affixing postage, and ensuring timely delivery. 
  • Maintain accurate records of incoming and outgoing mail, including dates and recipients. 
  • Manage the receipt and delivery of packages, including special deliveries like overnight shipments. 
  • Assist with customer inquiries regarding postal rates, delivery times, and other mail-related questions. 
  • Ensure the mailroom and the business office is stocked with postage stamps, envelopes, packing materials and essential office supplies.  
  • Assist the security team when needed at the security control room desk. 
  • All other duties as assigned. 

Requirements

  • High school degree or GED 
  • Accurate sorting and record-keeping is crucial 
  • Ability to manage multiple tasks and prioritize effectively 
  • Clear communication with colleagues and postal workers 
  • Ability to lift and move packages, sometimes up to 50lbs
  • Proficiency preferred with mail sorting software and tracking systems, CCTV camera system, 24/7 Incident Management System and Envoy (visitor check in and tracking system)
  • Must be able to work flexible hours including some weekends and/or holidays
  • Ability to speak and understand Spanish is a plus 
  • Proficient with Microsoft Office suite
  • Forklift certification a plus


Physical Demands:

  • Must be able to move and/or lift up to 50 pounds. 
  • This position requires work inside and outside of the building and some exposure to adverse conditions. 
  • Work in various positions, including but not limited to, stooping, standing, walking, bending over, sitting, kneeling, and squatting for extended periods of time.
