Position Summary

We are seeking a highly organized and detail‐oriented Operations & Bookkeeping Coordinator to manage day‐to‐day operational activities and maintain accurate financial records in QuickBooks. This role combines operations support, inventory tracking, vendor/warehouse communication, and bookkeeping into one central position.

Key Responsibilities

Bookkeeping & Financial Support (Primary Focus)

• Enter bills, invoices, payments, and deposits into QuickBooks.

• Reconcile bank accounts, credit cards, and vendor statements.

• Maintain accurate records of inventory purchases and cost of goods sold.

• Assist with month‐end closing tasks.

• Prepare simple financial reports (A/R, A/P, aging summaries).

Administrative & Office Support

• Maintain organized digital and physical filing systems.

• Assist with customer communication and follow‐ups when needed.

• Support management with ad‐hoc operational tasks.

• Ensure smooth day‐to‐day office operations.

Operations & Logistics 

• Track all inbound and outbound shipments daily.

• Update and maintain the company’s Excel-based inventory tracking sheet.

• Communicate with warehouses to confirm receiving, shipping, and inventory status.

• Coordinate with vendors, freight forwarders, and logistics partners.

• Maintain documentation for import/export shipments (BOLs, COAs, packing lists, etc.).

• Monitor delivery timelines and proactively resolve delays or discrepancies.

• Support compliance documentation (SDS, regulatory forms, etc.) as needed.

Required Skills & Qualifications

• 2–4 years of experience with QuickBooks (Online or Desktop).

• 1–3 years of experience in operations, logistics coordination, or office administration.

• Strong proficiency in Excel (filters, pivot tables, VLOOKUP preferred).

• Excellent communication skills for interacting with vendors, warehouses, and internal teams.

• High attention to detail and strong organizational skills.

• Ability to manage multiple tasks and prioritize effectively.

• Experience in distribution, supply chain, or chemical industry is a plus (not required).
