Description
ChildServe is looking to hire an organized, efficient and customer service-focused Operations Coordinator to manage schedules and coordination for our outpatient service areas. This position will be based at our Ames clinic.
Schedule
  • Full-Time, 40 hours per week
  • Monday-Friday Schedule

What You'll Do
  • Assure accurate, timely, and complete schedule information is entered and maintained in the practice management system.
  • Complete data entry to collaborate with insurance and authorization team and the intake team.
  • Coordinate with clients and providers to schedule new and re-schedule client's regular appointments to ensure the client meets frequency/ duration per physician orders, within insurance parameters while scheduling to expected provider efficiency.
  • Communicate schedule changes and reschedule needs to clients and providers.
  • Collaborate with other services and community supports to schedule specialty services. Manage schedules to cover open services resulting from provider absences, illness, and vacations.
  • Check in new clients and assure new patient packet is completed.
  • Schedule interpreters as needed.

What You'll Need
  • H.S. Degree or GED equivalent preferred; some college preferred.
  • Preferred: One year office/ administrative experience including customer service.
  • Preferred: Knowledge of adaptive medical equipment
  • Ability to work effectively, accurately, and efficiently with frequent interruptions.
  • Ability to communicate effectively and professionally with others, both verbally and in writing, and foster effective relationships with co-workers, families, and 3rd parties.
  • Computer skills; specifically, Microsoft Office and experience using an electronic health record system.
  • Maintain positive working relationships and demonstrate sensitivity to, and respect for, a diverse population.
  • Must exercise confidentiality regarding the affairs of clients, staff, their families, and ChildServe
  • Ability to interpret and follow applicable policies, procedures, and regulations.
  • Ability to communicate in English effectively for understanding, in writing and verbally.
