Job description

We are currently hiring a full-time (40 hours/week) Operations Assistant in our Rochester, NY office to support the Division Operations Lead and divisional leadership team with the day-to-day administrative and operational functions of the Transportation Division. This position provides administrative support to help ensure efficient office operations, accurate documentation, effective communication, and coordination of divisional activities. The ideal candidate is organized, detail-oriented, customer-service focused, and able to manage multiple priorities in a fast-paced environment.

Duties
  • Maintain and organize divisional files, records, financial information and documentation to ensure accuracy, accessibility, and compliance with company standards
  • Provide administrative support to divisional leadership, including scheduling meetings, coordinating calendars, making travel arrangements, and organizing meeting materials.
  • Assist with tracking expenses, processing invoices, and maintaining budget-related documentation.
  • Review, proofread, and format correspondence, reports, presentations, and other business documents.
  • Coordinate meeting logistics, events, and other divisional activities as needed.
  • Collaborate with project teams and support departments, including Finance, Marketing, and Human Resources, to assist with divisional administrative needs.
  • Help maintain and improve administrative processes and procedures to support efficient operations.
  • Perform other administrative and operational duties as assigned.

Salary Range: $25.48-$32.70 per hour

Requirements

  • Proficiency in Microsoft Office Suite, including Word, Excel, Outlook, and PowerPoint.
