ABOUT THE ROLE

The Operations Assistant supports the day-to-day activities of the Operations Department by assisting with administrative tasks, workflow tracking, reporting, communication, and operational follow-through. This position works closely with the Operations Coordinator to help ensure departments remain organized, priorities are tracked, and operational processes are completed accurately and efficiently.


The Operations Assistant plays an important role in maintaining organization, supporting workflow visibility, and helping teams stay aligned with operational expectations.


KEY RESPONSIBILITIES

Administrative & Operational Support

* Provide administrative support to the Operations Coordinator and Operations Department.

* Assist with tracking daily tasks, priorities, and workflow progress.

* Monitor internal queues, trackers, and work assignments to ensure timely follow-up.

* Help coordinate operational activities and support departmental needs.

* Assist with maintaining organized records, files, and operational documentation.

* Support scheduling, meeting coordination, and follow-up activities.


Workflow Tracking & Documentation

* Maintain and update operational trackers, reports, and status logs.

* Ensure records, notes, and workflow updates are entered accurately and in a timely manner.

* Assist with monitoring deadlines, service levels, and workflow completion.

* Support data entry and quality control efforts across departments.

* Prepare routine reports and operational summaries for leadership review.


Cross-Department Coordination

* Communicate with internal departments regarding workflow updates and outstanding items.

* Help facilitate information sharing between teams.

* Follow up on pending requests and assist with resolving routine operational issues.

* Escalate concerns, delays, or workflow obstacles to the Operations Coordinator.

* Support departmental communication and operational alignment.


Process Support

* Assist with implementing and maintaining operational procedures.

* Support process improvement initiatives designed to increase efficiency and accuracy.

* Participate in special projects and departmental initiatives as assigned.


Team Support

* Support employee communication and distribution of operational updates.

* Help maintain a professional and collaborative work environment.

* Provide general support to leadership and departmental staff as needed.

* Contribute to a culture of accountability, responsiveness, and teamwork.


QUALIFICATIONS

Required

* High school diploma or equivalent.

* 1–3 years of administrative, operations, customer service, or office support experience.

* Strong organizational and time management skills.

* Excellent written and verbal communication skills.

* Ability to manage multiple tasks and priorities in a fast-paced environment.

* Strong attention to detail and accuracy.

* Proficiency in Microsoft Office Suite, particularly Excel, Outlook, and Word.

* Ability to work independently while maintaining strong teamwork and collaboration.


Preferred

* Experience in healthcare, legal services, medical records, or a service-based environment.

* Experience with reporting, data tracking, and workflow management systems.
