Position Summary


The Receptionist and Operations Assistant provides administrative and operational support to the Customer Service team while serving as the primary front-desk contact for visitors, vendors, and callers. This role processes replacement requests and shipping-related issues, maintains accurate records, monitors assigned work queues, and performs routine clerical and receptionist duties. The ideal candidate is professional, organized, detail-oriented, and committed to providing responsive support to customers, representatives, and internal team members.

What You do:


  • Process customer and representative replacement requests and shipping errors accurately and in accordance with company policies and procedures. 
  • Maintain complete and accurate documentation of replacements, shipping errors, customer interactions, and related operational activity. 
  • Monitor assigned queues and follow up on open requests to support timely processing and resolution. 
  • Greet, sign in, and direct visitors and guests; notify the appropriate employee promptly and provide a welcoming, professional first impression. 
  • Answer, screen, and route incoming telephone calls and general inquiries to the appropriate department or team member. 
  • Receive, sort, and distribute incoming mail, packages, and deliveries; coordinate vendor arrivals and destinations with staff. 
  • Provide routine clerical support, including data entry, scanning, filing, document preparation, copying, and scheduling assistance. 
  • Maintain an orderly reception area, visitor records, shared office information, and basic office or front-desk supplies. 
  • Meet productivity, accuracy, service, and turnaround-time expectations and assist with other Customer Support or office-operational tasks as assigned.

  • Identifies routine discrepancies, gathers relevant information, and supports timely resolution. 
  • Maintains reliable attendance, punctuality, and consistent front-desk coverage. 
  • Works independently while remaining responsive to team priorities and changing business needs. 
  • Demonstrates basic proficiency with Microsoft Office, email, telephone systems, and shared office equipment. 
  • Maintains a service-focused, solutions-oriented approach in a fast-paced environment. 


Schedule


  • Full-time on-site position, Monday through Friday 8:00 AM -5:00 PM
  • Occasional overtime is required.
