Operations Assistant Remote information

What is an operations assistant remote?

Operations Assistants working remotely provide administrative and organizational support to ensure efficient business operations. Their duties often include managing schedules, handling communications, processing data, coordinating with different departments, and assisting with project management tasks—all through digital platforms. Remote Operations Assistants must be tech-savvy, self-motivated, and strong communicators, as they collaborate with teams and managers virtually. This role is essential for keeping workflows smooth and helping organizations stay organized, even when team members are not in the same physical location.

What are the key skills and qualifications needed to thrive as an operations assistant remote?

To thrive as an Operations Assistant (Remote), you need strong organizational skills, attention to detail, and proficiency in administrative processes, typically supported by a high school diploma or equivalent. Familiarity with project management tools (like Asana or Trello), cloud-based collaboration platforms (such as Google Workspace or Microsoft Office 365), and possibly CRM systems is important. Excellent time management, proactive communication, and adaptability are standout soft skills for this role. These abilities ensure efficient remote support, seamless workflow coordination, and effective team collaboration across locations.

What are some common challenges faced by remote operations assistants, and how can they be managed effectively?

Remote Operations Assistants often face challenges such as coordinating across time zones, maintaining clear communication with team members, and juggling multiple administrative tasks independently. To manage these effectively, it's important to establish regular check-ins with supervisors, use collaboration tools for task tracking, and set clear priorities for daily work. Proactively reaching out when clarification is needed and staying organized with digital tools can help ensure tasks are completed accurately and on time. Building strong communication habits is key to thriving in this remote role.

Job description

About Us
We are a stealth-stage fund and tech startup operating at the intersection of alternative markets and quantitative strategy. Backed by experienced operators and growing quickly, we are building the infrastructure to scale a high-performance, data-driven business.
Our business is a funnel. People come in at the top, move through several stages of interviewing, verification and setup, and come out the other side ready to work with us. Every stage of that funnel leaks. Closing those leaks is worth more to this company than almost anything else we could do.
The Role
You are the floor manager for that funnel. Four teams, roughly a dozen people, mostly remote and mostly early in their careers. Interviewers, onboarding specialists, document reviewers and hardware technicians.
Your job is daily output. Every one of those teams has a number, most of those numbers are below where they should be, and your week is spent finding out why and fixing it. Some of the fixes are coaching. Some are scheduling. Some are process. Some are tooling you will spec and hand to an engineer.
This is a hands-on, numbers-in-front-of-you job, not a strategy job. If you like watching a conversion rate move because of something you changed on Tuesday, you will enjoy it.
What You'll Do
Own the daily numbers. Every team, every day. You will know before anyone asks whether we are ahead or behind and why.
Lift conversion at every stage. Our biggest single lever is how many booked interviews people actually show up to. Our second biggest is how many people who start onboarding finish it. Both are yours.
Keep the queue moving. Nobody should sit at a stage waiting on us. Where a single person is the bottleneck, you find the way around it.
Manage a remote, early-career team well. Clear expectations, real coaching, and the direct conversation in the same week a number is missed rather than a month later.
Bring the cost down. Same output, less spend per person we take through. You will know your unit economics.
Fix the tooling or spec the fix. Some of what slows your teams down is software. You will not build it, but you will write a clear, specific request and follow it through.
Requirements
  • You have run daily operations for a high-volume team, ideally at a gig-economy platform, a fulfillment or production operation, or a fintech onboarding function
  • You are obsessed with data. You live in the dashboard, you manage by numbers, and you can spot a bad week on Wednesday rather than the following Monday
  • You are a direct manager. You will have the difficult conversation early, and stay effective with that person afterwards
  • You are resilient under volume. When the queue is backed up and three things break at once, you sequence rather than spiral
  • You hold the standard without turning every enforcement into a conflict
  • You write clearly. Your escalations come with a specific description of the problem, not a complaint
  • You are effective managing people you never see in person

Bonus Points For
    • Operations at Uber, DoorDash, TaskRabbit, Instacart or similar
    • Production or shift management in a high-volume fulfillment environment
    • Customer success operations, KYC or identity verification workflows
    • Experience with show-rate and no-show problems specifically
    • Comfort with spreadsheets and light data work, and enthusiasm for AI tooling

Benefits
  • Direct, visible impact on the numbers that matter most to the company
  • Competitive compensation
  • A clear growth path as the operation scales and more layers are added below you
  • A flat team with no red tape between you and the decision maker
  • Fully remote with flexible hours
