Operations & Administrative Coordinator (Full-Time)
Department: Production / Manufacturing
Reports To: Operations Manager
Employment Type: Full-Time, Non-Exempt
Schedule: Monday through Friday, 7am-3:30pm shift.

About the Role

We are a small, remote-hybrid team and this role is a great fit for someone who enjoys variety in their day, takes pride in keeping things organized, and feels comfortable working independently. This position will be on-site at our production facility in Berkeley, CA. You will own a defined set of daily responsibilities and stay connected with the broader team through email, Slack, and phone.

Responsibilities

  • Process incoming customer repairs: photograph items for the CRM (HubSpot), update pipeline status, and follow established intake procedures
  • Assist with production reporting in Cin7, including accurate data entry following ERP procedures
  • Assist with creating and processing purchase orders and coordinating parts purchasing
  • Perform final quality control inspection of finished products before packaging
  • Handle daily package shipment: pull product per pick list, package, and process outbound shipments using shipping software (procedures are fully documented; on a busy day this is approximately 2 hours of the shift)
  • Receive incoming packages: verify packing lists, sign for deliveries, receive inventory in Cin7, and store items properly
  • Stay responsive to the team via email, Slack, and phone throughout your shift

  • Experience with an ERP system (Cin7 a plus), HubSpot, or similar business software is a bonus
