Operations Administrator (Full-time or Part-time)
Position Overview
KPC Janitorial is seeking a detail-oriented and organized Operations Administrator to support our daily business operations. This role is ideal for someone who excels at multitasking, problem-solving, and communicating with employees, vendors, and clients in a fast-paced environment. The Operations Administrator will play a key role in ensuring office operations, staffing, scheduling, and work order management run efficiently.
Responsibilities
Responsibilities include, but are not limited to:
  • Manage day-to-day office operations, including responding to emails, phone calls, and general correspondence.
  • Coordinate scheduling, appointments, virtual interviews, and calendars for field and office staff.
  • Handle inbound and outbound staffing and operational calls.
  • Assign, monitor, and close out work orders, ensuring completed work is submitted to clients.
  • Maintain and organize employee files, contracts, work orders, and company documentation.
  • Assist with onboarding new employees and vendors.
  • Support operations management with administrative tasks, reporting, and project coordination.
  • Process invoices, purchase orders, and assist with basic administrative and bookkeeping tasks.
  • Serve as the primary point of contact for employees, clients, vendors, and subcontractors.
  • Order and track office and operational supplies as needed (approximately once per month).
  • Ensure timely communication and follow-up on operational requests and staffing needs.
Qualifications
  • Previous experience in an administrative, operations, or office support role required.
  • Experience in janitorial, facilities management, construction, staffing, or a related industry is a plus.
  • Proficient in Microsoft Office Suite (Word, Excel, Outlook).
  • Strong organizational, time management, and multitasking skills.
  • Excellent written, verbal, and interpersonal communication skills.
  • Ability to think critically, solve problems, and learn new systems quickly.
  • Familiarity with QuickBooks or similar accounting software is preferred but not required.

    • In-person office meetings: Approximately once every 1–2 months.
