Operations Administration Associate

In this role, you'll play a key part in ensuring accurate weekly payroll processing, timely customer billing, and exceptional support for employees, project managers, and customers. Overview:
The Operations Administration Associate is responsible for supporting daily administrative and financial functions with a primary focus on payroll processing and customer billing activities. This role partners closely with operations leadership, project managers, field employees, and customers to ensure payroll is processed accurately and on time, invoices are generated and distributed promptly, and records are maintained with a high degree of accuracy. The Operations Administration Associate helps drive operational efficiency through strong recordkeeping, data reconciliation, customer service, and effective coordination across multiple business functions.
A Day in the Life:
  • Process weekly payroll accurately and within established deadlines.
  • Review and validate employee time entry information to ensure payroll accuracy.
  • Assist employees with payroll-related questions, corrections, and support.
  • Generate, review, and distribute customer invoices in a timely manner.
  • Collaborate with project managers to ensure billing aligns with project progress and customer requirements.
  • Research and resolve payroll and billing discrepancies.
  • Maintain payroll, billing, contract, and project documentation with a high level of accuracy and organization.
  • Verify financial and operational data used in payroll and invoicing processes.
  • Support reporting, audits, reconciliations, and record retention activities.
  • Build and maintain positive relationships with customers through professional communication and responsiveness.
  • Work closely with operations personnel, project managers, and administrative teams to support business objectives.
  • Prioritize workload effectively while managing multiple deadlines and competing priorities.
  • Contribute to process improvement initiatives that enhance efficiency and service quality.
  • Support special projects and additional administrative functions as assigned.
    Qualifications & Skills:
  • High school diploma or equivalent required.
  • Valid Driver's License required.
  • Proficiency in Microsoft Excel and Outlook.
  • Strong organizational, data entry, and time management skills.
  • Excellent attention to detail and commitment to accuracy.
  • Ability to manage multiple priorities and meet strict deadlines in a fast-paced environment.
  • Strong written, verbal, and interpersonal communication skills.
  • Ability to work independently and collaboratively within a team environment.
  • Self-motivated with a desire to learn and grow professionally.
  • Previous payroll, billing, administrative, invoicing, or customer account experience preferred.
  • Associate's or Bachelor's degree preferred; equivalent experience will be considered.
  • Experience reconciling financial or operational data preferred.
  • Must be able to pass a criminal background check and drug screening.
