POSITION SUMMARY:ย ย ย 

The Executive Assistant provides high-level administrativeย and operationalย support to the Chief Operating Officerย (COO)ย and the Martis Camp Clubย Board of Directors.ย This role serves as a key partner to the COO, helping manage priorities, streamline the flow of information, and ensureย effective coordination, alignment,ย and follow-through acrossย leadership initiatives.ย 

The position requires exceptional organization, sound judgment, and the ability toย anticipateย needs in a fast-paced, high-expectation environment. The ideal candidate is detail-oriented, proactive, and professional, with the ability to interact confidently with senior leadership, Board members, and key stakeholders whileย maintainingย the highest level of discretion. Occasional evening and weekend availability may beย requiredย based on operational needs.ย 

ESSENTIAL JOB RESPONSIBILITIES:ย ย ย 

Executiveย Supportย to the Chief Operating Officer (Approx.75%)ย 

  • Proactively manage the COOโ€™s daily, weekly, andย long-rangeย commitments to ensure sustained focus on strategic priorities.ย 
  • Coordinate and track key priorities, initiatives, deadlines, and follow-ups to ensureย timelyย execution.ย 
  • Draft and send communications on behalf of the COO, reflectingย appropriate tone, intent, and professionalism.ย ย 
  • Prepare and coordinate meetings and events as needed.ย Anticipate scheduling conflicts, preparation needs, and follow-up requirements.ย ย 
  • Support and coordinate executive-level projects, including tracking milestones, coordinating stakeholders, and ensuring completion.ย 

Executive Team Support (Approx.10%)

  • Provide executive-level coordination and administrative support to senior leadership, including the CFO, Senior Director of Operations, and Director of Human Resources.ย 
  • Coordinate executive and cross-functional meetings, including agendas, materials, andย logistics.ย 
  • Track action items, commitments, and deadlines resulting from leadership meetings.ย 
  • Support leadership retreats, planning sessions, and key organizational events.ย 
  • Assistย with special projects, events, and cross-functional initiatives as assigned.ย 
  • Maintain a working knowledge of MCC governance structure, bylaws, and leadership processes.ย 

Boardย of Directorsย Liaison (Approx.10%)

  • Support the COO in organizing Boardย and committeeย meetings, including agendaย development, materials,ย logistics, and minutes.ย 
  • Serve as a liaison to the Clubโ€™s Board of Directors, ensuringย timely,ย accurate, and professionalย communication.ย ย 
  • Coordinateย Board calendars, document distribution, and follow-up on action items.ย ย 
  • Support internal (Ambassador) and external (Member) communications, including drafting and coordinating the distribution.ย 
  • Maintain highly organized digital and physical filing systems with strong version control.ย ย 
  • Support governance processes andย maintainย organized Board records.ย 

Member Services Support (Approx.5%)

  • Provideย limited operationalย support duringย peak periods or staff absencesย to ensure continuity ofย memberย service.ย ย 
  • Assistย with newย memberย welcomeย visits and orientations as needed.ย 

Other duties as assigned by the COO.ย 

KNOWLEDGE, SKILLS, AND ABILITIES:ย 

Knowledgeย 

  • Strong understanding of administrative and executive supportย bestย practices.ย 
  • Knowledge of governance best practices and applicable regulationsย 
  • Meetingย coordination, agenda preparation, and minute-taking.ย

  • Basic understanding of hospitality,ย privateย club, or luxury serviceย environmentsย (preferred).ย

PREFERREDย EDUCATION,ย EXPERIENCE,ย CERTIFICATIONS, AND LICENSURE:ย 

  • Proven experience as an Executive Assistant or in a comparable seniorย executiveย support role.ย 
  • Demonstrated experience coordinating and managing projects, including timelines, deliverables, and cross-functional communicationย 
  • Associate'sย degreeย or higher preferred, orย 
  • Three to five years of experience inย corporate,ย private clubs, or luxuryย hospitalityย service environments, or similarlyย high-touchย organizations,ย preferred.ย 
  • Familiarity with board governance processes, including agenda preparation and minute-taking best practices.ย 

PHYSICAL REQUIREMENTS:ย ย 

  • Ability to sit for extended periods while working at a computer.ย 
  • Occasional lifting of up to 20ย lbs.ย (e.g., meeting materials, office supplies).ย 
  • Ability to move between office spaces and meeting rooms.ย 
  • Must be able to work on-site at Martis Camp Club and occasionallyย assistย during events

You may alsoย participateย in decision-making conversations due to that knowledge. All matters shared with you by the Chief Operating Officer, Senior Director of Operations, Chief Financial Officer, or by a Board Member shall be considered โ€œclub business and matters.โ€ You mayย be requiredย to attend Club Leadership Meetings or other meetings with the COO, CFO, and SDO, whereย you againย may be privy toย sensitiveย and/or confidential information and communication. Due to the unique nature of the Club, the Clubโ€™s Board of Directors, the COO, the SDO, the Clubโ€™s members, the โ€œclub business and mattersโ€, and the Club in general, all have a high expectation of privacy, and the terms of this Agreement are intended to preserve and protect such expectation of privacy.ย ย ย 

SALARY RANGE & BENEFITS:
