Job description

We are seeking a motivated individual that will ensure smooth daily business operations by managing administrative tasks, maintaining office operations, coordinating communication, and supporting staff. Office Coordinators are essential for maintaining a functional and organized work environment. We are seeking a winner!


Core Responsibilities

  • Administrative Support: Handling incoming calls, emails, and mail; managing calendars, scheduling appointments, and organizing meetings.
  • General Bookkeeping duties: AR/AP management, General accounting, expense entry and management, Invoicing, working in unison with outside accountants.
  • Office Operations: Basic HR duties, ordering supplies, maintaining equipment, Filing, and liaising with vendors or building management.
  • Communication & Reception: Welcoming visitors, directing inquiries, and facilitating communication between departments.
  • Documentation & Records: Maintaining files, records, and databases, as well as preparing reports or presentations.
  • Process Improvement: Developing and implementing efficient office procedures to increase productivity.


Required Skills and Qualifications

  • Experience: Proven experience in an administrative or office coordination role.
  • Technical Skills: Proficiency in office software IS mandatory (e.g., Quickbooks and Quickbooks Online version, Microsoft Office Suite, Excel, Google Workspace) and basic office equipment.
  • STRONG Interpersonal skills: Works well with everyone! A TEAM player!
  • Communication: Excellent written and verbal communication skills.
  • Organization: Strong multitasking skills, attention to detail, and the ability to prioritize tasks.
