We are a full-service provider for all real estate-related needs; we have offices in Bloomington, Peoria, and Springfield, Illinois, and we currently manage residential units, commercial spaces, and homeowner associations.

About the role: Our company is looking for an organized and self-motivated Front Office Administrator for our Bloomington office who will provide administrative support to our office personnel. This role will include working closely with our Property Management team and handling clerical duties.

To be successful in this position you should be reliable, detail-oriented, professional, and have excellent written and verbal communication skills.

Responsibilities:

  • Welcoming visitors and directing them to the relevant office/personnel.
  • Assist walk in applicants with various tasks such as filling out an application, key check out, or move in packets
  • Act as a liaison between customers and office staff while they are out of the office to ensure prompt service
  • Carrying out clerical duties such as answering phone calls, responding to emails, and preparing documents.
  • Respond to all prospective inquiries including, online, in person, phone, etc.
  • Schedule showings for agents based on their availability
  • Answer calls regarding rental application status, and work with office staff to ensure prospects are informed through the application process
  • Assist as needed for lock outs, meeting vendors on site, potential showings based on office availability
  • Act as back up for Penske rental truck check outs and returns
  • Entry of rental payments, 30-day notices, tenant insurance, and other relevant items into our tenant software
  • Performing other duties as assigned

Requirements:

  • High school diploma or equivalent.
  • Proficient in various computer software applications including Microsoft Office Suite (Word, Excel, Outlook, and Teams).
  • Comfortable handling confidential information.
  • Multi-tasking and time-management skills, with the ability to prioritize tasks.
