Job description

We are looking for a friendly, organized, dependable, and proactive Medical Receptionist / Office Manager to join our naturopathic clinic. This role is ideal for someone who enjoys helping patients, thrives in a busy healthcare environment, and takes pride in keeping the clinic running smoothly. A person who has a passion for natural, functional & regenerative medicine is a plus.

This position combines hands-on patient care and front-desk responsibilities with office management and daily operational support. We are looking for someone who wants a career, not just a job. The ideal candidate has excellent communication, organization, multitasking, and problem-solving skills. They should be comfortable balancing multiple priorities while providing exceptional customer service and creating a warm, welcoming experience for every patient.


Responsibilities

  • Greet patients warmly and provide excellent, compassionate customer service.
  • Check patients in and out and manage appointment scheduling.
  • Answer phones, respond to messages, and assist patients with questions and requests.
  • Collect copays and other patient payments accurately.
  • Verify insurance information and assist with insurance-related tasks.
  • Process and send patient referrals.
  • Organize and coordinate peer-to-peer with providers.
  • Room patients and prepare them for their appointments.
  • Help maintain an efficient flow of patients throughout the clinic.
  • Coordinate and oversee daily front-office operations.
  • Maintain accurate patient records and ensure information is entered correctly.
  • Communicate effectively with providers and clinical staff to support patient care.
  • Keep exam rooms, reception areas, and other clinic spaces clean, organized, stocked, and welcoming.
  • Monitor office supplies and help ensure the clinic has what it needs to operate efficiently.
  • Assist with resolving day-to-day office issues and proactively identify areas that need attention.
  • Help maintain and improve office systems, workflows, and organization.
  • Maintain patient confidentiality and follow all clinic policies and HIPAA requirements.
  • Support providers and staff with administrative tasks as needed.
  • Step in wherever needed to help the clinic operate smoothly and provide excellent patient experience.


Qualifications

  • Previous experience as a medical receptionist, healthcare front-office, office manager, or similar role preferred but not required. Will train the right candidate.
  • A person who has a passion for natural, functional & regenerative medicine is a plus.
  • Excellent communication and customer service skills.
  • Strong organizational skills and attention to detail.
  • Excellent multitasking and problem-solving abilities.
  • Comfortable handling copays, insurance information, referrals, and other administrative responsibilities.
  • Able to work independently while also being a collaborative team member.
  • Professional, friendly, dependable, and positive demeanor.
  •  Comfortable working in a fast-paced clinical environment.
  • Ability to prioritize tasks and stay organized throughout the day.
  • Strong computer and administrative skills.
  • Knowledge of HIPAA and patient confidentiality requirements.
  • Previous experience with electronic medical records (EMR) systems is a plus.
  • Availability on Friday afternoons and Saturdays is required.
