Job Summary:
We are seeking a professional, organized, and service-oriented Office Assistant to join our Support Office team. This role is essential in maintaining an efficient, welcoming, and well-organized office environment. The Office Assistant will serve as the first point of contact for visitors and incoming calls, providing courteous and professional assistance. The ideal candidate has strong interpersonal skills, is dependable, detail-oriented, proactive, and able to manage multiple tasks while maintaining a high level of professionalism.
Essential Duties and Responsibilities:
  • Present a professional appearance and welcoming demeanor as the first point of contact for visitors and callers; answer door, manage building access and greet guests professionally and courteously.

  • Receive, sort, and distribute incoming mail and deliveries to office staff; drop off mail at the post office as required.

  • Order, stock, and maintain office and breakroom supplies.

  • Coordinate, schedule, and maintain conference room calendars.

  • Ensure conference rooms are clean, organized, and prepared for meetings.

  • Arrange for and pick up lunches or catering for corporate meetings as needed.

  • Provide general assistance to leadership and office staff.

  • Maintain a clean, organized, and welcoming office environment.

  • Perform other related office duties as assigned.

Schedule Requirements:
This position requires punctual and reliable attendance. Because someone must be present to monitor the front door and admit visitors, arriving at 8:00am on time each day is essential to the success of this role. The work schedule will align with Support Office operating hours and may be adjusted based on business needs.
Requirements:
  • High school diploma or equivalent

  • Previous administrative, receptionist, or office support experience preferred

  • Professional communication skills, both verbal and written

  • Strong organizational, time management, and prioritizing skills

  • Proficiency in Microsoft Office (Word, Outlook, Excel) and general office equipment.
