Job Description

Job Summary

The Office Assistant provides secretarial and clerical support to the Director of Language Programs. This position serves as the liaison between students and different offices (Finances, Registrar, Admissions, Campus Technology).

Key Responsibilities

  • Coordinates communication between students and different offices (Registrar, SFS, Admissions, CT).
  • Provides student care, answering questions and helping students solve problems.
  • Provides guidance to students about different processes (registration, tuition payments, opening tickets, etc.).
  • Provides Canvas support for faculty and students.
  • Helps to coordinate class rotation with faculty.
  • Perform additional tasks and responsibilities as assigned to support the team and institutional goals.
  • Helps to promote the Portuguese MTS.
  • Demonstrates commitment to personal and professional growth in leadership and ministry effectiveness.
  • Handles sensitive and confidential information with discretion.
  • Performs other related duties as assigned and specific to area of responsibility.

Specific Skills and Qualifications

  • Experience in higher education processes and support strategies preferred.
  • Fluency in bilingual speaking abilities (English, Spanish, Portuguese) is required.
  • Strong organizational skills and attention to detail, with the ability to manage multiple tasks and deadlines effectively.
  • Strong work ethic and initiative; ability to operate with minimal supervision.
  • Exemplary social skills with an ability to be a part of and contribute to a collaborative team and demonstrate love and appreciation for cross-cultural interaction.
  • Excellent written and verbal communication skills and the ability to clearly and simply articulate the value propositions of SWBTS.
  • Proficiency with Microsoft Office Suite and Canvas LMS required; experience with higher education software (e.g., SEVIS, Colleague, Slate), cloud-based communication software (Zoom), and data management software (CRM databases) preferred.
  • Ability to provide proof of Work Authorization in the U.S. and proof of identity.
  • Successful completion of background check, MVR, and credit check may be required.

Work Environment / Physical Requirements

  • Office Environment - May be required to reach above shoulder level for organizational tasks (e.g., retrieving files from upper shelves), bend, stoop, or reach to access lower or upper shelves.
  • Ability to sit and stand for extended periods of time and move about to the office to interact with other staff members.
  • Ability to use a computer and near-visual acuity in reading written documents and statistical data.
  • Exchanges information by telephone, computer, in writing and in person.
  • Ability to traverse campus for meetings and talk to groups while doing so.
