Job description
- This position is an on-site position which requires the incumbent to complete their work primarily at an NAU site, campus, or facility with or without accommodation. Opportunities for remote work are rare.
- This is a reduced FTE position scheduled to work 30 hours per week (.75 FTE). Compensation, benefits, and leave accruals are prorated based on the assigned FTE in accordance with university policy.
About the Department/College
The Martin-Springer Institute brings the experiences of the Holocaust into sharp focus in order to understand those events in the context of today’s concerns and crises. Through public presentations, exhibits, teacher training, symposia and special events, we seek to use insights and lessons from the past to address current conflicts—including the treatment of refugees, mass violence, and genocide.
Our programs promote the values of moral courage, tolerance, empathy, reconciliation, and justice. Founded by Ralph and Doris Martin, the Institute fosters dialogue on local, national, and international levels.
About the Position
This Community Program Coordinator, Intermediate position assists with the coordination of public presentations, exhibits, teacher training, student-related projects, symposia and special events to help us meet our goals of educating students, the public and teachers with respect to insights and lessons for today from the past. This position ensures compliance with NAU policies and practices. This position works in close contact and cooperation with the Institute Directors and under specific circumstances will have some latitude to make decisions. Must have knowledge of all aspects of program coordination.
Responsibilities Include35% - Coordination and Execution of Programs
- Annual teacher training seminars (2-4 days).
- Assisting with traveling components of MSI work, including local and state travel, occasional (inter)national travel (can last up to 18 days).
- Annual main speaker event.
- Assist with international symposia (held at NAU or abroad); these symposia are multi-day events (mostly 3-4 days) and require 1-2 years of planning and organization.
- Collaborates with Director and, when needed, other MSI staff, on program ideas, program content and speakers.
- Responsible for logistics (space arrangements/communication/ technology/ print).
- Sends/ships traveling exhibits, within Arizona as well as abroad (currently: Poland, South Africa).
- Coordinates Annual meetings of MSI-advisory bodies and is an ex officio member of these boards.
15% - Administrative Support
- Daily office support (correspondence, supplies, program follow up, responding to daily immediate needs, printing, etc).
- MSI liaison to multiple NAU offices, from HR to Budget to Parking Services, etc.
- Coordination of travel and processing reimbursement/payments.
15% - Assistance with Educational Programs (including Student Projects)
- Assisting the director with NAU student-faculty research programs/public humanities projects.
- Keeping track of logistics and payments for student interns and student workers.
- Assisting in competitive student awards.
- Assistance with planning and accompanying MSI created, occasional study trips local and international for NAU students and AZ teachers.
15% - Budgeting, Grant Writing & Fundraising
- Maintains and keeps track of budget and various MSI gift accounts.
- Provides data and budget for grant applications.
- Assistance in completing/closing grants.
- Liaison to our local and regional community.
- Assists with securing private donor funds.
10% - Public Relations/Community Outreach
- Assistance in PR/design/community connections.
- Designs in-house flyers (about 15 events/programs annually).
- Collaborates with professional designers.
- Maintains program social media accounts.
- Community outreach and relations.
5% - Manage Program Data
- Manages and maintains records/data from various constituencies, from students and community to MSI supporters, international & national speakers and AZ teachers.
5% - Other
- Other duties as assigned.
Minimum Qualifications
- Bachelor’s degree in relevant field.
- 2-4 years of relevant experience.
*A combination of related education, experience, and training may be used as an equivalent to the above Minimum Qualifications.
Preferred Qualifications
- MA in fields related to the Humanities & Arts, Education, or Management.
- Professional Development training related to:
- Educational/administrative program related MSI’s mission, such as USHMM offered programs (i.e. Belfer), History and Ourselves, Echoes and Reflection, or comparable regional development opportunities.
- Outreach experience: Public relations (including use of social media) and/or fundraising/grantwriting
Knowledge, Skills, & Abilities

Compensation
Anticipated salary range is $36,000 to $38,000. Annual salary commensurate with candidate's qualifications and related experience.
Pre-Employment Check
Northern Arizona University requires satisfactory results for the following: a criminal background investigation, an employment history verification and a degree verification (in some cases) prior to employment. You may also be required to complete a fingerprint background check. Also, as an employer in the state of Arizona, NAU is required to participate in the federal E-Verify program that assists employers with verifying new employees' right to work in the United States.
This position has been identified as a safety/security sensitive position. Notice of Availability of the Annual Fire and Security Report
Each year Northern Arizona University releases an Annual Security Report. The report is a result of a federal law known as the Clery Act. The report includes Clery reportable crime statistics for the three most recent completed calendar years and discloses procedures, practices and programs NAU uses to keep students and employees safe including how to report crimes or other emergencies occurring on campus. In addition, the Fire Safety Report is combined with the Annual Security Report for the NAU Flagstaff Mountain Campus as this campus has on-campus student housing. This report discloses fire safety policies and procedures related to on-campus student housing and statistics for fires that occurred in those facilities.
