Job description

Job Title: Senior Specialist, Fleet Operations (North America)
Role Overview
We are seeking a highly organized and analytical Fleet Operations Specialist to manage the lifecycle and operational productivity of a large-scale national vehicle fleet. Serving as the central point of contact for internal stakeholders and external partners, you will oversee the strategic configuration, deployment, and retirement of company assets. This role requires a "can-do" entrepreneurial attitude and the ability to navigate a fast-paced environment where data-backed decisions drive operational excellence. You will act as a primary liaison between sales, distribution, and insurance partners to ensure inventory optimization, legal compliance, and a seamless customer experience.
Key Responsibilities
Fleet Lifecycle & Inventory Management
• Deployment & Refresh: Coordinate the strategic refresh of internal vehicle fleets; collaborate with product and sales teams to ensure inventory levels minimize downtime and reduce the volume of aged assets.
• Exchange Coordination: Direct the timely exchange of vehicles to meet monthly operational and retail targets; oversee vehicle arrival, location logistics, and condition reporting.
• Asset Retirement: Manage the retirement process for vehicles, ensuring they meet delivery metrics and adhere to national fleet policies regarding condition and resale value.
Administration, Title & Registration
• Compliance: Coordinate the titling and registration of fleet vehicles across multiple jurisdictions; direct third-party agencies to ensure all assets are legally registered and road-ready.
• Title Management: Account for and process titles for consigned vehicles, working with financial services and auction partners to ensure timely transfers and auction readiness.
• Data Integrity: Maintain accurate vehicle records within administration systems, including in-service dates, damage disclosures, and assignment history.
Maintenance, Insurance & Risk
• Repair Management: Coordinate repairs with workshops and local body shops, managing the process from pick-up to completion to minimize customer downtime.
• Claims Liaison: Act as the primary link between vehicle users and insurance partners for all incident and damage claims; ensure reporting follows strict company policy.
• Asset Protection: Monitor driver reporting and documentation to ensure full protection of company assets and compliance with federal and state damage disclosure laws.
Qualifications & Requirements
• Education: Bachelor's Degree is required.
• Experience:
o3+ years of professional experience in Fleet Management, Rental Car Operations, or Dealership Service Loaner programs.
oExperience in after-sales coordination or automotive logistics is highly preferred.
• Technical Skills:
oProficiency in MS Office (Word/Outlook) is required.
oAdvanced Excel (data analysis) and PowerPoint (presentations) skills are highly desired.
• Core Competencies:
oOutstanding verbal and written communication skills.
oAnalytical aptitude with the ability to research and make data-backed decisions.
oStrong problem-solving skills and a high level of business acumen.
oAbility to build relationships and work collaboratively across distances with drivers, vendors, and partners.
• Licensure: A valid driver's license in good standing is mandatory.
