POSITION SUMMARY: This multifaceted role combines responsibilities of an Executive Assistant, Office Manager, and Marketing Lead, requiring exceptional organizational skills, creative vision, and a passion for delivering outstanding experiences for employees, clients, and stakeholders. The EA will work closely with the CEO and leadership team to ensure seamless operations, a welcoming office environment, and a cohesive brand strategy that reflects BYLD's innovative approach to construction technology. This is an in-office position.

JOB RESPONSIBILITIES:
Executive Assistant Duties:
  • Schedule and coordinate meetings, appointments, and conference calls across multiple time zones and stakeholders, ensuring optimal time management and preparation.
  • Manage CEO calendar and email communications, including scheduling, invites, confirmations, and inbox prioritization, drafting responses, flagging critical items, and ensuring all engagements are accurate, timely, and actioned appropriately.
  • Arrange domestic and international travel plans across Leadership, including flights, lodging, car rentals, and itineraries, with attention to cost efficiency and comfort, handling last-minute changes quickly and efficiently.
  • Handle occasional personal tasks, appointments, reservations, and errands for the CEO as needed, maintaining discretion and professionalism.
  • Prepare and organize documents, presentations, food & beverage, and reports for executive/Leadership meetings and stakeholder engagements.
  • Support data entry and CRM updates.
  • Coordinate and facilitate notary services as needed, including preparing documents, ensuring proper execution, and liaising with internal teams or external providers.
  • Lead and execute special projects as needed, often cross-functional in scope.
  • Assist with expense tracking and receipt management for multiple team members.
  • Coordinate Quarterly BYLD Board and BYLD Team meeting logistics including scheduling, calendar holds, location/virtual setup, and attendee communication.
  • Maintain organized records of Board documents, minutes, and historical materials for easy access and reference.
  • Capture clear Weekly / Monthly Leadership meeting notes and action items and track follow-ups to ensure completion.
  • Support internal communication cadence by coordinating updates, reminders, and key announcements across the team.
  • Represent executives in select meetings, capture key insights, and provide clear, actionable summaries.
Office Management Duties:
    • Oversee daily office operations, ensuring a clean, organized, and professional workspace that reflects BYLD's brand identity.
    • Manage office scheduling, including coordinating events and visitor logistics.
    • Maintain office aesthetics, including plant care, furnishings, artwork, decor, music, and scent to create an inviting and innovative environment.
    • Ensure exceptional customer and employee hospitality by curating music, snacks, coffee, drinks, occasional flowers, and holiday dรฉcor, to enhance the office experience and team culture and team building.
    • Oversee cleaning schedules and coordinate with vendors to maintain a pristine office and warehouse spaces.
    • Manage digital signage and graphics to promote company updates, events, or brand messaging within the office and warehouses.

Marketing & Brand Experience Duties:
    • Develop and execute eBlast campaigns to engage clients, partners, and stakeholders, ensuring consistent messaging and high open rates.
    • Collaborate with third-party graphic designers to produce visually compelling marketing materials, ensuring alignment with BYLD's brand standards.
    • Manage and schedule regular LinkedIn posts to enhance brand visibility, showcase thought leadership and highlight company achievements.
    • Coordinate photo and video shoots for construction projects across the country, capturing high-quality content for marketing and promotional use.
    • Oversee website updates, ensuring content is current, and user-friendly.
    • Monitor and analyze marketing campaign performance, providing reports and recommendations to optimize reach and impact.
    • Prepare materials, presentations, and briefing documents for internal and external meetings.
    • Coordinate the design, production, and ordering of branded materials (apparel, signage, marketing collateral) in alignment with brand standards.
    • Manage branding vendor communication, quotes, timelines, and order tracking to ensure accurate and timely delivery.
    • Maintain inventory of branded items and proactively reorder as needed to support team, events, and client needs.

  • Strong creative vision and experience managing brand identity, marketing campaigns, and visual content creation.
  • Proficiency in tools like Microsoft Office, email marketing platforms (e.g., Mailchimp), and social media management tools.
