Job Description Summary We are seeking an Associate Occupancy Planner to support the regional space planning team in the delivery of data management, data analysis and support move planning activities. As the Associate Occupancy Planner, you will be responsible for the management of the client's occupancy data and aligned data quality program to ensure compliance with defined data quality rules. The role will collaborate and communicate with other members of the regional Occupancy Planning team, Facilities Operations team (including but not restricted to the MAC team), and client partners to resolve data anomalies, improve data quality and ensure accurate reporting of occupancy metrics that contribute to delivering occupancy and real estate decisions and strategies. As the Associate Occupancy Planner, you will also be responsible for liaising with the regional Occupancy Planning team, Facilities Operations team, and Space Captains to deliver move planning activities in support of regional space planning projects. This includes coordinating space allocations with the Occupancy Planning and MAC teams and creating detailed communications and schedules to facilitate the move activities. The successful candidate will be responsible for overseeing the process of occupancy updates and the development of move projects in the client's CAFM system. This position will require collaboration with team members not under direct management or supervision including Space Captains, occupancy planners, project managers, facilities manager, the CAFM technology team and the Global CAD services team. Job Responsibilities Space Data Audit
  • Manage data quality processes to ensure accuracy of space and occupancy data
  • Audit CAFM data to ensure compliance with client's defined standards for employee data
  • Liaise with Occupancy Planners, MAC Coordinators, Facilities Operations and others as necessary for the timely resolution of data anomalies
  • Conduct space audit process to ensure accuracy of space assignments, space types and architectural layouts
Move Planning
  • Create and track move projects
  • Liaise with Space Captains, MAC and FM counterparts to ensure all move projects are completed and data is updated and recorded according to defined timelines
  • Serve as Single Point of Contact for Space Captains to address questions regarding space allocations and configurations reflected in CAFM system; coordinate resolution with JLL Occupancy Planners and MAC team as necessary
CAFM Coordination
  • Ensure timely CAFM updates of space and occupancy data related to moves/adds/changes
  • Maintain Space Captain assignments in a centralised repository
Requirements:
  • A Bachelor's Degree in Real Estate, Finance, Architecture, Design, Construction Management, or related field is required
  • 3-5 years of experience in corporate environment
  • Previous experience in space/occupancy planning at a tactical level
  • Advanced Excel/Sheets skills
  • Data analysis skills
  • CAFM system experience highly desirable; familiarity with Tririga prefferred
  • Familiarity with Google's Workspace suite of productivity tools a plus
You'll need to be dynamic and technologically savvy and utilize software to support planning solutions and communicate ideas clearly with the planning team and lines of business. You will be successful if you have advanced skills in Google Sheets/Microsoft Excel and an understanding of space planning principles. Proficiency in and ability to consolidate data and floor plans into slide decks for presentations to client and lines of business is required. You'll be effective in your role by asking the right questions to understand the underlying needs of our client. Excellent communication skills are important - both written and spoken. You will be expected to work independently, multi-task, and manage your time to meet deadlines. An individual with strong interpersonal skills with an ability to interact with internal clients at all levels will be successful in the role. Estimated compensation for this position: 79,000.00 - 103,990.00 USD per year This range is an estimate and actual compensation may differ.
