About the Service Advisor Role

The Service Advisor serves as the primary point of contact between clients and the mobile maintenance team. This role is responsible for assessing fleet vehicle service needs, analyzing work order specifications, evaluating labor and parts costs, and preparing accurate and competitive repair estimates. The Service Advisor coordinates with the dispatch team to ensure seamless service delivery and upholds a high standard of customer communication throughout the estimate and approval process.

This position is based out of our corporate office in Sacramento, CA.

Where You’ll Make an Impact

Estimating & Work Orders

  • Evaluate client-reported vehicle issues and technician findings to generate detailed, accurate service estimates for Class 6–8 trucks and trailers
  • Build and present estimates using fleet maintenance software, including labor, parts, supplies, and applicable fees
  • Review manufacturer service schedules and recommended intervals to proactively identify additional service needs
  • Obtain customer approval on all estimates prior to work authorization
  • Update estimates in real time as scope of work changes in the field

Client Communication

  • Serve as the primary liaison between fleet clients and mobile technicians throughout the service process
  • Communicate service timelines, delays, and completed work clearly and professionally via phone, email, or fleet management platforms
  • Build and maintain strong relationships with fleet managers and key client contacts
  • Handle customer concerns and resolve service disputes in a professional and timely manner

Dispatch Coordination

  • Work closely with the dispatch team to schedule preventive maintenance visits and repair calls
  • Communicate job scope, priority, and special requirements to dispatch to ensure the right technician and equipment are assigned
  • Provide dispatch with real-time updates on estimate approvals, scope changes, and job status to keep schedules accurate
  • Prioritize open work orders based on vehicle downtime impact and client urgency

Documentation & Compliance

  • Maintain accurate records of vehicle service histories, estimates, approvals, and completed work
  • Ensure all work orders comply with company pricing standards and warranty policies
  • Assist with warranty claim documentation as needed

What Makes You a Great Fit

  • 3-5 years of experience as a service advisor or service writer in a heavy-duty trucking, commercial vehicle, or fleet maintenance environment
  • Hands-on knowledge of Class 6–8 trucks and trailers, including engines, drivetrains, brakes, suspensions, and DOT compliance requirements
  • Familiarity with heavy-duty OEMs such as Freightliner, Kenworth, Peterbilt, International, Volvo, and Mack
  • Strong understanding of preventive maintenance schedules and common repair procedures for commercial trucks and trailers
  • Proficiency with service or fleet management software (e.g., Fullbay, Mitchell1 Truck, Trimble, FleetIQ, or similar)
  • Ability to read and interpret repair orders, inspection reports, and technician findings
  • Excellent written and verbal communication skills with a customer-first mindset
  • Strong organizational skills with the ability to manage multiple open accounts simultaneously
  • High school diploma required; Associate's degree preferred.
