Transition Assistance Program (TAP) Administrative Assistant

Job Title: Transition Assistance Program (TAP) Administrative Assistant
Job Type: Full-Time
Place of Performance: Military & Family Readiness Center, Hill Air Force Base, UT
Schedule: Monday–Friday, 7:30 AM – 4:30 PM

Summary:

Provides administrative, scheduling, customer service, and data management support for the Military & Family Readiness Center's Transition Assistance Program (TAP). Responsible for coordinating TAP appointments, maintaining accurate records, supporting classroom operations, assisting transitioning Service Members, and ensuring professional front desk operations while complying with Air Force policies and confidentiality requirements.

Requirements:
  • Minimum of six (6) months of administrative, scheduling, or data entry experience, preferably within a military, federal, or comparable corporate environment.Experience using CMMS or maintenance management software.
  • Proficiency in Microsoft Word, Excel, Outlook, and Microsoft Teams.
  • Ability to prepare professional correspondence, maintain spreadsheets, and manage electronic calendars.
  • Demonstrated ability to produce written documents with accurate grammar, spelling, punctuation, and professional formatting.
  • Technical ability to set up and support virtual classroom environments using Microsoft Teams.
  • Basic knowledge of military protocol, military customs and courtesies, and Air Force/Department of the Air Force (DAF) terminology.
  • Excellent customer service skills with the ability to interact professionally with military members, retirees, families, and Government personnel.
  • Strong oral and written communication skills with the ability to clearly explain Transition Assistance Program (TAP) information.
  • Excellent organizational, time management, and multitasking abilities.
  • Ability to safeguard sensitive information and maintain strict confidentiality.
  • Must successfully obtain and maintain a favorable federal background investigation and Common Access Card (CAC) for installation and Government network access.
Duties:
  • Schedule Transition Assistance Program (TAP) appointments and maintain accurate Outlook calendars.
  • Enter, update, and maintain participant records in Government databases and tracking systems.
  • Monitor telephones and organizational email inboxes, responding to customer inquiries in a professional and timely manner.
  • Coordinate TAP workshop scheduling and participant registration.
  • Prepare classrooms, training materials, and audiovisual equipment prior to scheduled classes.
  • Verify participant attendance and maintain accurate attendance records.
  • Assist Service Members with required TAP forms and documentation.
  • Provide professional front desk reception and administrative support.
  • Maintain inventory and accountability of Government-issued classroom equipment and materials.
  • Protect Personally Identifiable Information (PII) and other sensitive Government information in accordance with applicable policies.
  • Support emergency operations and other administrative functions as assigned by the Military & Family Readiness Center.
