SALES & MARKETING Coordinator
Reporting Relationship: V.P. of Sales & Marketing

SUMMARY
This position is responsible for coordinating the marketing efforts for active & upcoming communities and providing support to the sales team under the direction of the V.P. of Sales & Marketing.
ESSENTIAL DUTIES / RESPONSIBILITIES
• Create digital marketing assets such as interactive floorplans, renderings, site plans, DSA applications, and virtual tours/videos utilizing corporate standards/vendors.
• Develop community branding including product naming, logos, branding and advertising campaigns in partnership with the VP of Sales & Marketing and consultants.
• Coordinate design & production of printed marketing materials such as brochures, collateral, registration cards, tabletop signs, business cards, flyers, etc. Maintain inventory and place orders as needed.
• Serve as a representative/point of contact, attend meetings, and coordinate advertising efforts with master developers.
• Manage content for active and upcoming communities on sheahomes.com; ensuring pricing and community information is accurate and updated in a timely manner.
• Coordinate all community advertising and marketing efforts including email campaigns, newspaper ads, social media accounts & ads, paid search remarketing, text marketing, sponsorships, PR stories.
• Obtain legal department approval for email and digital advertising including blogs & social media posts. Ensure all printed materials contain accurate and current legal disclaimers.
• Manage relationships with various consultants, vendors, and agencies including advertising, social media, paid search marketing, promotional vendors, interior designers, signage companies, event production, model maintenance vendors, etc.
• Manage community budgets for fixed assets and selling expenses, including preparing quarterly reviews with VP of Finance and Division President.
• Coordinate production & manage inventory of Shea-branded materials and promotional items (pens, bags, keychains, floormats, etc.).
• Manage photography and videography including matterport tours for model homes, inventory homes and amenities including naming/uploading to corporate Digital Asset Management system.
• Schedule Preliminary and Final Marketing Meetings for model homes; take and distribute notes from meetings.
• Attend model frame walks, drywall walks, finish walks and final walks to ensure accuracy of marketing materials and model/sales office execution as needed.
• Prepare and execute contracts for model & sales office furniture/merchandising including lease agreements for restrooms & sales trailers.
• Coordinate installation of model & sales office furnishings & supplies, including procurement of specialty items for model homes or sales offices such as light fixtures, fitness equipment, game tables, etc.
• Coordinate design, production & installation of model complex signage & flags, billboards, fence banners and weekend sign or balloon service.
• Coordinate maintenance and repairs of model homes & sales offices including cleaning, pest control, landscape maintenance, pool/fountain service, music service, and plant service.
• Manage inventory, repair and transportation of sales golf carts including DMV registration & insurance.
• Manage closing gift program and place orders as requested by sales team.
• Coordinate & execute customer & broker events including grand openings, sales promotions, previews, site tours, etc.
• Coordinate customer communication such as closing and contract party invitations and presentations.
• Process and code department invoices.
• Ensure Online Sales Team/call center has most current information regarding availability, phase releases, appointment scheduling and prequalification process for all upcoming and actively selling communities.
• Attend monthly corporate interdivisional marketing team meetings.

KNOWLEDGE / EXPERIENCE / SKILLS / ABILITIES
• Minimum two years office and sales administration or marketing coordination experience preferred.
• Minimum two years experience working with senior level management preferred.
• Customer service - serves as the Sales & Marketing department's "goodwill ambassador" when interfacing with both external and internal customers.
• Knowledge of Microsoft Outlook, Word, Excel, PowerPoint, Adobe and Familiarity with Enterprise 1, Salesforce, and Canva.
• Familiarity with various AI models such as CoPilot, Gemini, ChatGPT or Claude
• Ability to plan, organize and prioritize responsibilities in order to meet deadlines.
• Excellent time management, organizational and follow up skills.
• Strong verbal and written communication skills and practices in all directions.
• Consistent follow up and follow through.
• Ability to work in a fast-paced environment at a high level of performance.
