Position Mission

The Marketing Operations Manager is responsible for driving operational excellence across the Marketing Departments by managing key business process, coordinating cross-functional initiatives, overseeing vendor relationships, supporting financial operations, and fostering a collaborative team culture. This role services as a strategic operational partner to the Director of Marketing Operations, ensuring the department operates efficiently through strong communication, organized workflows, and effective administrative and financial management.

The ideal candidate is highly organized, proactive, detail-oriented, relationship driven, and passionate about creating systems and processes that enable the Marketing team to perform at its highest level while supporting the organization's mission and values.

Position Responsibilities

  • Operational Support
    • Maintain standardize processes across all Marketing teams to ensure consistent execution.
    • Establish and nurture strong relationships with internal stakeholder departments, fostering effective department partnerships across the organization.
    • Assist in identifying operational inefficiencies and implement solutions to improve productivity, communications, and resource allocations.
    • Document workflow and operational best practices for the Marketing team.
    • Serve as the Marketing Leadership Level 10 (L10) meeting scribe, maintaining confidentiality, trust, and discretion with sensitive information.
    • Coordinate departmental calendars, meetings, and operational communications while maintaining organization of documentation, files, and records to support team operations.
    • Coordinate new team member onboarding and facilitate training sessions if needed.
    • Manage iSupport tickets routed to the Marketing Team Queue.
  • Financial Operations and Budget Administration
    • Manage the submission, tracking, and processing of invoices, receipts, expense reports, and purchase requests to ensure timely and accurate payment.
    • Partner with Finance to ensure compliance with organizational policies and financial procedures.
    • Assist with monthly budget reconciliation, expense reporting, and financial tracking for the Marketing department.
    • Maintain accurate financial documentation and support budget management activities.
  • Vendor Management
    • Develop and maintain productive relationships with vendors, agencies, and external partners.
    • Coordinate vendor onboarding, documentation, and contract administration in partnership with internal stakeholders.
    • Ensure vendor invoices are submitted accurately and processed according to established timelines.
    • Serve as the primary point of contact for routine vendor communications and operational needs.
  • Team Culture and Office Coordination
    • Partner with the Director of Marketing Operations to plan and coordinate team meetings, recognition activities, team-building events, and other employee engagement initiatives.
    • Maintain a welcoming, organized, and functional Marketing workspace.
    • Manage department office supplies, snacks, beverages, and other operational resources.
    • Help cultivate a positive, collaborative, mission-focused team culture that reflects the organization's values.
  • Cultivate Divine Intimacy
    • Participate in community prayer opportunities, including scheduled department prayer time (Holy Half Hour minimum) and the Divine Mercy Chaplet at 3:00 p.m.
    • Avail yourself of additional spiritual formation opportunities in accordance with organizational policies and Guidelines for Divine Intimacy.
    • Be a consistent witness for Jesus Christ and maintain a courteous, Christ-like attitude in all interactions.
    • Live out the moral life in Christ in alignment with the organization's mission, values, and relevant policies.

Qualifications

  • A deep commitment to the organization's Catholic mission and values.
  • Bachelor's degree in Marketing, Business Administration, Communications, or a related field preferred.
  • 3-5 years of experience in marketing operations, business operations, project coordination, or a similar operational role.
  • Experience managing budgets, invoices, vendor relationships, and administrative processes.
  • Strong organizational and project management skills with exceptional attention to detail in fast paced environment.
  • Excellent written and verbal communication skills with high level of professionalism, discretion, and confidentiality.

Compensation & Benefits

For this role, we anticipate paying $75,000 - $80,000/year. This range is an estimate. The actual amount may be higher or lower than the provided range and will be adjusted based on various factors including qualifications, experience, abilities, geographic location, and duties.
