The Portfolio Administration team is one of four pillars within Fiera Capital's Global Operations, together with Fund Administration, Data Management, and Global Performance. Global Operations primarily supports the Public Markets business in Canada, the U.S., and the UK, administering a broad and complex range of investment strategies, fund structures, and asset classes across the Institutional, Financial Intermediary, and Private Wealth distribution channels. It also supports Private Markets, through feeder funds and fund-of-funds structures. Global Operations teams operate in a collaborative, fast-paced environment where attention to detail, operational risk awareness, and client focus are essential.
The Portfolio Administration Team supports the firm's portfolio management and trading activities by maintaining accurate investment accounting data through the Investment Book of Record (IBOR) and providing post-trade support. The team collaborates closely with key internal stakeholders, including Public Markets portfolio management teams and CIO offices, distribution and client-facing teams, Investment Risk, Operations, Legal & Compliance, and Finance. Externally, it manages relationships with brokers, custodians, and vendors. The team also supports client inquiries, RFP responses, client, regulatory, and internal audit requests.

What we are looking for:

The Manager, Portfolio Administration, is a collaborative leader responsible for overseeing portfolio administration operations in support of Fiera's broad range of investment strategies and products. This role partners closely with operations, investment, and distribution teams to maintain accurate account data, reliable cash projections, and operational readiness. As a subject matter expert and trusted business partner, the Manager brings proven experience developing and leading teams within a global firm while remaining client- and solution-focused.

Your responsibilities:

  • Lead a team of Portfolio Administration analysts responsible for cash administration and reconciliation activities across various asset classes.

  • Ensure cash, transaction, and position information maintained in the IBOR is complete, accurate, and available within established operational timelines.

  • Oversee the daily reconciliation of cash, transactions, and positions with custodians and other counterparties

  • Review daily cash availability and projections, including foreign currency balances, for accuracy before they are provided to portfolio managers and traders

  • Oversee the investigation and resolution of material, aged, and recurring reconciliation exceptions, working with internal teams and external counterparties to address underlying causes

  • Ensure transactions are accurately and promptly reflected in the IBOR

  • Ensure key Portfolio Administration controls are completed within established timelines, with appropriate evidence of review and management sign-off, and provide required support to internal and external auditors

  • Oversee key vendors and service providers, including service quality, issue resolution, and adherence to established service levels and governance requirements

  • Monitor operational metrics, reconciliation trends, and service-provider performance to identify risks and improvement opportunities

  • Build a high-performing team by establishing clear priorities, responsibilities, and performance expectations

  • Coach and develop team members, supporting their technical knowledge, professional growth, and participation in strategic initiatives

  • Manage workload allocation, cross-training, and backup coverage while promoting accountability, collaboration, and continuous improvement

  • Lead by example and advocate for the team by ensuring priorities, resource needs, and operational risks are clearly communicated

  • Empower team members to contribute to high-profile projects that support their development and improve the effectiveness of the function

  • Represent Portfolio Administration in system implementations, and material process changes, including requirements definition, testing, and operational readiness

  • Work closely with investment and operations teams on reconciliation matters, cash projections, and the integrity of information maintained in the IBOR

  • Stay current on industry and regulatory trends and the evolving needs of our clients and partners

  • Demonstrate a strong understanding of the asset management industry and partner with other departments to develop and implement effective operational solutions

  • Maintain strong relationships with distribution, investment and operations teams to ensure client satisfaction and trust

  • Respond to client due diligence questionnaires and prospect RFPs

Must have requirements to be successful in this role:

  • A bachelor's degree in finance, accounting, economics, business administration, or a related field, or equivalent work experience, is required

  • Additional industry certifications are not required but are considered assets

  • 5-7+ years of portfolio administration and reconciliation experience in asset management, including 3+ years managing Investment Operations professionals

  • Strong understanding of how investment managers operate and engage with counterparties and custodians

  • Highly organized, methodical, and meticulous

  • Strong analytical skills, with experience resolving operational issues and solving problems effectively

  • Excellent communication and presentation skills, including the ability to explain complex concepts clearly to stakeholders at all levels

  • Experience leading cross-functional projects or product management initiatives and developing operational solutions is an asset

  • Ability to collaborate effectively in a global, dynamic, cross-functional environment and build strong relationships

  • High degree of integrity and professionalism

  • Initiative-taking, with a continuous improvement mindset

  • French language proficiency is required for candidates based in Montreal.

Systems Experience:

  • Experience with Eagle Accounting, Eagle PACE, Gresham reconciliation solutions, SS&C PACER, custodian portals, and Bloomberg is considered a strong asset.

  • Advanced Microsoft Excel skills and experience with operational reporting or data-visualization tools would also be beneficial.

Additional Information:

  • Fiera Capital adheres to a hybrid working environment with 4 days in-office per week.

  • The salary range for this position is $110,000- $130,000. This role is also be eligible for additional compensation, including bonuses and employee benefits. This salary range is for Ontario.
