Position Description: The Temporary Professional Office Assistant is a member of the College of Health and Human Sciences (CHHS) Dean's and Advising Office teams, working as a team with the Dean's Executive Assistant, Retention & Recruitment Coordinator, Manager of Student Support Services, and student employees. This position will both provide staffing of the Dean's and Advising Office front desks, providing front-line and service-oriented support, and provide training and onboarding to new student employees. This position is designed to help support the team through a period of transition and will only last 8 weeks at maximum. This position is primarily in-person due to the nature of the work, although remote work may be approved on occasion to work on projects assigned by their supervisors.Our offices are open from 8:00 AM to 5:00 PM and employees will be regularly expected to open or close as part of their responsibilities.

This position requires previous experience working as a CHHS Student Office Assistant.

Starting Pay Rate: $19.29 to $22.00 per hour, depending on skills and experience

Please note that this role is not benefits eligible and requires enrollment in a PERA Retirement account.

Duties/Responsibilities:

General duties and responsibilities across both offices include:

  • Act as a lead to student employees during transition period

  • Provide training and onboarding to newly hired student employees

  • Greet visitors to the office and direct them to the proper space, taking messages or responding to inquiries if needed

  • Answer phones and check voice messages and respond or direct accordingly

  • Provide exceptional administrative support on projects for the Dean, Dean's Office personnel, and Advising Office personnel

  • Be knowledgeable about college departments, majors, and other offerings and provide basic introductory information about them

  • Share ideas and help implement student-oriented events and activities

  • Collaborate with other student employees to create/maintain systems for shared communication

  • Adhere to FERPA law and regulations

  • Run errands on campus as needed

Tasks specific to the Dean's Office include:

  • Open and close the office each day, including preparing the breakroom, light cleaning, and other tasks that create a welcoming environment

  • Fill copy machine with paper, keep inventory of office supplies, work with the Executive Assistant to maintain and organize a stocked office, and other office maintenance tasks

  • Provide IT support for the conference room and office suites, as needed

  • Monitor the main inbox for the Dean's Office

  • Provide support to staff on website updates and events

  • Provide support for set up of meetings and events

  • Check the mailbox and distribute mail

Tasks specific to the Advising Office include:

  • Schedule student appointments for staff and faculty advisors using Navigate

  • Direct students to general campus resources in person, via email, and via phone

  • Monitor and correspond with students via the chhsadvising email

  • Transfer phone appointments to staff advisors

  • Regularly utilize Microsoft Teams to receive updates and support advising staff

  • Support students in finding their class schedules, assigned advisor, or other relevant information

Required Qualifications:

  • Previous experience as a CHHS Student Office Assistant

  • Strong interpersonal skills with the ability to provide courteous and professional customer service

  • Strong written and verbal communication skills

  • Able to work independently and in a team environment

  • Experience using Microsoft Office including Teams, Outlook, Word, Excel and PowerPoint

  • Experience using Navigate360

  • Experience using Microsoft Teams

  • Knowledge of FERPA
