Job description

Position Summary:
Mary Baldwin University is currently seeking a Mailroom Coordinator. This position reports to the Director of Campus Support Services. This is a full-time, non-exempt, benefits-eligible position. Hourly rate is $15.75.
Manages the daily operations of the MBU mailroom by receiving, sorting, preparing, and delivering mail and packages across campus. Provides customer service to students, faculty, staff, and campus partners. Maintains accurate records for efficient mailroom operations.
Primary Duties
  • Mail Processing - Receive, sort, and prepare incoming and outgoing mail & packages.
  • Customer Service - Provide window service, assist customers with mailing procedures, and respond to email and phone inquiries.
  • Student Worker Coordination - Direct, support, and mentor student assistants assigned to the mail room while fostering a respectful and inclusive team environment.
  • Recordkeeping & Organization - Maintain forms, logs, and operational documentation; ensure organized filing systems and general upkeep of the mail room.
  • Bulk Mail Support - Coordinate bulk mailing requirements with campus departments to ensure proper preparation, postage accuracy, and timely delivery.
  • Shipping & Packaging - Assist departments with packaging, documentation, and shipping procedures.
  • Operational Efficiency - Analyze and report utilization efficiencies for mail service platforms, machines, and shipping services across campus.
  • Financial Support - Assist with ordering supplies and invoicing departments as needed.
  • Campus Engagement - Effectively market mailroom services to campus partners and the community and maintain positive relationships with customers and departments.
  • Problem Resolution - Address workplace, employee, and customer concerns to ensure smooth operations.
  • Share space and coordinate schedules with Print Services.
  • Other duties as assigned.
Required Qualifications
  • High School Diploma or equivalent. Valid Virginia driver's license.
  • Ability to learn and apply U.S. Postal Service regulations (prior knowledge preferred but not required).
  • Strong attention to detail, adaptability, and organizational skills.
  • Ability to maintain cleanliness and uphold a professional, positive, and respectful attitude. Demonstrated reliability, punctuality, and ability to represent MBU responsibly.
Physical Requirements
  • Ability to lift and carry up to 50 lbs. independently; heavier items with assistance. Frequent reaching, stooping, kneeling, walking, and stair climbing while carrying loads.
  • Ability to stand or walk for extended periods.
  • Sufficient manual dexterity to operate mailroom equipment.
  • Good vision and hearing (with or without corrective devices).
  • Work performed indoors and outdoors in all weather conditions.
