Mail Services Associate
Position Summary:
The Mail Services Associate is responsible for the efficient handling, sorting, and distribution of all incoming and outgoing mail and packages. This position plays a key role in maintaining timely, accurate, and secure delivery of correspondence and materials throughout the organization, while providing exceptional customer service and support to internal staff.
Main Duties and Responsibilities:
  • Manage Shipping & Receiving mail room functions and various office services. Process all materials received in the Mail Center.
  • Per SOP, perform task for digital mail. (sort mail by recipient, Prep mail for scanning and using a proprietary solution scan into the proper mail department queue.
  • Provide customer service at the Mailroom service window during core business hours
  • Prepare and process outbound Domestic and International shipments using Fedex shipping management systems.
  • Control inbound and outbound accountable packages.
  • Weighs packages and determines postage.
  • Sort parcels for shipping and receiving.
  • Prepare items for processing, shipment or transportation.
  • Maintains time, volume and delivery records.
  • Re-stock supplies throughout the office.
  • Provides general administrative and clerical assistance.
  • Performs other duties as assigned
  • Restocking fridges and cabinets twice daily (soda, milk, fruit baskets, coffee supplies, towels, napkins, chips, nuts, sugar , sweeteners).
  • Submitting weekly inventory sheets to replenish supplies
  • Escorting vendors

Qualifications and Requirements:
  • Must have a HS diploma
  • 1-2 years prior Mail Services experience in an office environment
  • Proficiency with Microsoft office applications and good communication skills
  • General knowledge of international shipping including custom paperwork
  • Strong work ethic; diplomatic; team and service oriented; builds strong working relationships.
  • Exhibits exceptional customer service skills.
  • Consistently demonstrates professional demeanor, appearance and attitude.
  • Proven ability to remain calm under pressure; resilient.
  • Sound judgment and problem-solving ability.
  • Demonstrated ability to be flexible and adapt to an ever-changing work environment.
