Schedule: Monday-Friday, 8:00 AM - 4:30 PM

We are seeking an experienced Mail Operations Manager to lead our Mail Operations and Bindery Departments.

This position is ideal for candidates with leadership experience in transactional mail, statement processing, direct mail, print-to-mail operations, fulfillment services, or other high-volume production environments where quality, compliance, productivity, and customer deadlines are critical.


Position Summary

The Mail Operations Manager is responsible for the leadership, performance, and continuous improvement of Mail Operations and Bindery. This role oversees a multi-shift operation of approximately 40 employees and is accountable for production output, quality, safety, employee development, operational efficiency, USPS compliance, and customer satisfaction.


What You'll Do

  • Lead and develop supervisors, leads, and production personnel across multiple shifts
  • Manage staffing, training, performance management, workforce planning, and employee development
  • Oversee production scheduling, workflow management, capacity planning, and labor utilization
  • Ensure customer commitments, production schedules, and service level agreements are consistently achieved
  • Monitor and improve productivity, quality, equipment utilization, on-time delivery, and operational efficiency
  • Analyze production data and key performance indicators to drive continuous improvement initiatives
  • Ensure compliance with USPS regulations, client requirements, document integrity standards, and company procedures
  • Maintain strong relationships with USPS representatives and stay informed on postal regulations, rate changes, and industry developments
  • Coordinate equipment maintenance, repairs, upgrades, and vendor relationships to maximize uptime and reliability
  • Manage inventory levels of production materials and operational supplies
  • Lead safety initiatives and ensure compliance with OSHA, CalOSHA, and company safety programs
  • Partner with Client Services, Print Operations, Fulfillment, Maintenance, Purchasing, Human Resources, and other departments to achieve operational goals
  • Manage departmental budgets, labor utilization, overtime, maintenance costs, and operational expenditures
  • Provide operational reporting, recommendations, and performance updates to executive leadership
  • Support strategic initiatives, process improvements, and special projects as assigned

What We're Looking For

  • Bachelor's degree in Business, Operations Management, Manufacturing, Engineering, Logistics, or related field; equivalent experience considered
  • 5+ years of experience in mail operations, print production, fulfillment services, manufacturing, or other high-volume production environments
  • 5+ years of leadership experience managing supervisors, leads, and production personnel
  • Experience leading multi-shift operations in a production, manufacturing, mailing, or fulfillment environment
  • Strong knowledge of USPS regulations, mailing technologies, postal software, and transactional mail operations
  • Experience with print-to-mail workflows, inserters, sortation equipment, variable data processing, and document integrity requirements
  • Proven success driving operational improvements through Lean Manufacturing, Six Sigma, or continuous improvement methodologies
  • Strong analytical, leadership, communication, and problem-solving skills
  • Knowledge of OSHA/CalOSHA regulations and workplace safety practices
  • Ability to manage multiple priorities in a fast-paced environment and work across shifts as needed
  • Lean Manufacturing and/or Six Sigma certification preferred
  • Bilingual Spanish preferred
  • Ability to pass a pre-employment drug screen, background check, and E-Verify
