Position Overview:

We are seeking a highly organized, dependable, and detail-oriented Mail & Administrative Operations Coordinator to support our company's daily administrative and operational functions. This role serves as a critical link between incoming correspondence, internal departments, and key stakeholders by ensuring documents, mail, and information are processed, organized, and routed accurately and efficiently.

The successful candidate will retrieve company mail, digitize and distribute correspondence, assist with shipping and banking activities, and support document management processes. Because our organization consists of multiple departments, projects, and team members across the country, this position requires someone who can quickly learn organizational structures, exercise sound judgment, and independently determine how information should be handled and distributed.

Key Responsibilities:

  • Retrieve company mail from the designated UPS Store mailbox on a regular schedule.
  • Open, sort, review, and process incoming mail and packages.
  • Scan, upload, and digitally organize incoming correspondence and documents.
  • Determine the appropriate department, manager, or team member for document distribution.
  • Email scanned documents with accurate summaries and routing information.
  • Prepare and ship company documents, packages, and materials to employees, vendors, and business partners throughout the United States.
  • Make bank deposits for company checks and approved financial instruments following established procedures.
  • Maintain accurate digital records of correspondence, deposits, shipments, and related transactions.
  • Monitor incoming mail for urgent or time-sensitive matters and escalate as appropriate.
  • Assist with administrative projects, document management, and operational support activities.
  • Recommend process improvements related to mail handling, document routing, and administrative workflows.
  • Maintain strict confidentiality when handling company, employee, client, and financial information.
  • Represent the company professionally when interacting with banks, shipping providers, vendors, and other business partners.

  • Ability to exercise sound judgment when handling and routing correspondence and financial documents.
  • Willingness to complete random drug testing as required, in compliance with applicable federal, state, and local laws.
  • Employment is contingent upon the successful completion of any lawfully permitted background check conducted after a conditional offer of employment.
  • Must meet company standards for reliability, trustworthiness, professionalism, and accountability.
