Basic Description:

The Loan Officer Assistant will assist & support their Senior Mortgage Banker(s) (SMB) to elevate the operational rhythm of a high-performing team. The role will function as a chief of staff to one of our top producers, owning the calendar, inbox, and daily priorities allowing the Senior Mortgage Banker to focus on clients and business growth. The right candidate thinks two steps ahead, communicates with confidence, and is comfortable holding the line when something doesn’t belong on the schedule.

Responsibilities:

  • Calendar management – Schedule appointments, build the daily plan, defend focus time, and ensure timely arrival of every commitment.
  • Inbox management – Triage incoming emails, respond to routine inquiries, forward and flag items as needed.
  • Daily call list management – Build, share, and hold the Senior Mortgage Banker accountable to outreach commitments.
  • Executive coaching support – Assist with preparation, materials, and follow through on the Senior Mortgage Banker’s external coaching commitments.
  • Team meetings and coordination – Schedule, prepare content, and follow up on action items.
  • Client and referral partner appreciation – Manage birthday program and weekly thank you card outreach.
  • Event coordination – Support team events, client appreciation events and agent gatherings.
  • Provide excellent customer service to team, customers, referral partners.
  • Support & collaborate with all of Flat Branch Operations Staff (i.e., Processing, Underwriting, Closing, Post-Closing, Shipping and Secondary).
  • Establish & implement comprehensive and marketing strategies to drive business development, build strong client relationships, and support the Senior Mortgage Banker in building strong realtor and client relationships.
  • Manage CRM and all of its functions (i.e., data entry, campaign facilitation, emails, phone calls, letters and anything else deemed necessary and/or appropriate).
  • Setting appointments and/or organizing business related gatherings
  • Enhance relationships with clients and strategic referral partners via marketing documents.
  • All other duties as assigned.


Requirements:

Qualifications & Skills:

  • Proficiency in Microsoft Excel
  • Technical proficiencies with Microsoft Teams, Outlook and CRM (Total Expert) preferred
  • Extreme attention to detail
  • Excellent communication skills, verbal & written – Comfortable delivering direct messages diplomatically
  • Self-starter/Self-motivator
  • Prolonged periods sitting at a desk and working on a computer
  • Occasional travel, although minimal, may be required throughout the year, as needed.
  • Composed under pressure and discreet with confidential information
  • Spread company culture to each location
