JOB DESCRIPTION
The Operations Manager oversees the full execution of event operations, including scheduling, labor coordination, safety, and compliance. This role ensures compliance with company policies and safety standards while prioritizing internal staff and fair distribution of hours. Serving as a key liaison between clients, crew, and internal teams, the Operations Manager drives operational efficiency, addresses staffing needs, and upholds company values through clear communication and performance tracking
Operations Area Manager - Key Responsibilities
Scheduling & Logistics Coordination
  • Develop, maintain, and distribute event, rehearsal, and crew schedules.
  • Coordinate availability with production teams, talent, and venue contacts.
  • Utilize scheduling software to optimize crew deployment and resource allocation.

Operational Execution & Performance Tracking
  • Execute all operations in alignment with company policies, safety standards, and client expectations.
  • Track and report weekly metrics:
    • Forecasted Headcount by Department
    • Labor & Other Costs
    • Amount Invoiced
    • Weekly Overtime Hours per City
  • Maintain up-to-date event records, resource logs, and internal tracking systems.

Crew & Resource Management
  • Liaise with technical/logistics teams to confirm resource availability.
  • Track crew hours and ensure timekeeping accuracy.
  • Support onsite onboarding, check-in, and compliance documentation.
  • Ensure team readiness and adherence to safety protocols.

Hiring & HR Support
  • Identify staffing gaps and communicate hiring needs.
  • Ensure completion of onboarding and compliance documentation before scheduling.
  • Document and report HR issues (attendance, conduct, performance).
  • Maintain accurate records of team rosters, assignments, and certifications.

Client & Stakeholder Communication
  • Serve as the primary point of contact for scheduling, inquiries, and event coordination.
  • Maintain professional, responsive communication with clients and stakeholders.
  • Address and escalate client concerns or feedback promptly.
  • Represent company values and standards on-site and in all correspondence.

Accountability & Compliance
  • Meet all operational deadlines and ensure data accuracy.
  • Maintain clear documentation of decisions, changes, and communications.
  • Follow up on unresolved issues to ensure closure.
  • Ensure compliance with OSHA and internal safety guidelines.

Professional & Personal Qualifications
  • 2+ years of experience in an operations, production, or administrative role (live events or entertainment preferred).
  • Strong organizational and multitasking skills with a high attention to detail.
  • Excellent communication and interpersonal skills.
  • Proficient in scheduling software and tools.
  • Ability to work under pressure and adapt to a fast-paced, changing environment.
