Job description

Administrative Assistant
 

Job Overview:  This position reports directly to the branch manager and is responsible for supporting a wide range of activities; calendar management, scheduling of meetings and events, communication with external clients/customers, and supporting efforts with special projects.

Key Responsibilities:

  • Maintain, issue, and track inventory for uniforms and ammunition per audit standards.
  • Distribute ID badges and audit signature list weekly for expired ID badges.
  • Schedule and maintain records for DOT physicals.
  • Maintain petty cash per audit standards.
  • Coordinate with Accounts Payable for timely processing of invoices and tracking of purchase orders.
  • Review employee records in Loomis academy for compliance standards and notify supervisors of overdue trainings.
  • Perform weekly circulation of counterfeit bills per audit standards.
  • Collaborate with HR to ensure proper record keeping of termination documents.
  • Work closely with BM, CMS Manager, and Operations Manager on administrative tasks and moderate HR obligations, including posting HR related information in the branch.
  • Handle mail room duties, including administrative support for UPS related issues.
  • Order office supplies and other departmental items.
  • Make travel arrangements for various runs and Loomis travelers.
  • Responsible for arranging and scheduling meetings, lunches, and Loomis family events.
  • Other duties as assigned. 

Primary Qualifications:

  • High School diploma or equivalent. 

Individual Skills & Competencies:

  • Strong knowledge of Microsoft Office programs and office equipment.
  • Excellent communication skills, both verbal and written. 
  • Strong attention to detail to provide quality service with accuracy.
  • Demonstrate strong organizational and time management skills to efficiently to meet deadlines and handle competing priorities.
