About you and this role

Dow has an exciting opportunity for an AssociateAdministrative Assistant located in Arab, AL.

The Associate Administrative Assistant provides administrative or clerical support and administers general office activities. Such activities are clerical in nature and may include pulling together data, preparing reports, handling requests for information, receiving visitors, preparing travel schedules, arranging calls and scheduling meetings. Works within guidelines under general supervision.

Responsibilities
  • Provide administrative support to employees under the direction of leaders and colleagues, completing assigned tasks accurately, on time, and with a focus on quality, efficiency, and continuous improvement.
Administrative & Office Support
  • Perform general office duties including filing, copying, scanning, faxing, and document preparation.
  • Schedule and coordinate meetings, prepare meeting rooms, and support meeting logistics as needed.
  • Maintain organized electronic and physical filing systems to ensure timely access to records.
Reception & Visitor Management
  • Serve as the primary receptionist and first point of contact for the site.
  • Greet and assist visitors in a professional manner, ensuring adherence to site safety and security protocols.
  • Issue temporary badges and support visitor access in accordance with site requirements.
  • Monitor and maintain badge and access control software; escalate access issues as appropriate.
Document Management & Records Control
  • Serve as site document management support, including maintaining a controlled physical document library.
  • Ensure documents are filed, retained, and archived in alignment with site, company, and regulatory requirements.
  • Support audits, inspections, and reviews by retrieving and organizing required documentation.
Office & Facilities Coordination
  • Maintain and order office supplies; monitor inventory levels and coordinate replenishment.
  • Manage conference rooms and common office areas, ensuring they are clean, organized, and ready for use.
  • Coordinate with site contacts or vendors for office-related services as needed.
Safety & Site Monitoring Support
  • Monitor the site weather radio and other designated alert systems.
  • Escalate severe weather or emergency notifications per site procedures.
  • Support site safety culture by following all safety rules and promptly reporting concerns.
  • Use Microsoft Office and other business systems effectively, stay current on technology, and troubleshoot standard office equipment and software issues as needed.
  • Demonstrate initiative, sound judgment, problem-solving ability, teamwork, and a willingness to learn while building effective working relationships and keeping others informed of work status.
  • Follow Dow's safety expectations and core values, intervene when unsafe behaviors are observed, and treat others with respect.
Required Qualifications
  • A minimum of a High School diploma, GED, or equivalent.
  • A minimum of 2 years relevant work experience.
  • A minimum requirement for this U.S. based position is the ability to work legally in the United States. No visa sponsorship/support is available for this position, including for any type of U.S. permanent residency (green card) process.
