Job description

Krieg DeVault is seeking an experienced Legal Assistant to work with our Transactional and Litigation practice who wishes to continue their career in a highly professional environment which inspires teamwork and collaboration. This position will work from our Carmel, Indiana office with other talented individuals who share a passion for doing great work in the best interest of our clients. This position provides support in a fast paced, always changing environment. The successful candidate will be self-motivated with a hands-on, positive, "can-do" approach with a desire to think creatively to identify and implement proactive solutions.
Essential Job Duties and Responsibilities include the following:
  • Manage traditional administrative needs of multiple attorneys;
  • Provide legal administrative support for transactional and litigation work;
  • Prepare highly confidential documents such as agreements, contracts, correspondence, memoranda communications to clients;
  • Provide transactional closing support by preparing closing binders, checklists and signature packets;
  • Maintain electronic and physical client files and ensure accurate organization of transaction documents;
  • Anticipate attorney needs, maintain systems for version control, file organization, and closing documentation;
  • Prepare client engagement letters, open new files, request conflict checks and prepare new matter intake forms;
  • Manage attorney calendars;
  • Monitor deadlines and follow up on outstanding items to ensure timely completion of transactional matters;
  • Provide organizational assistance with meetings, billings, travel and maintaining calendars;
  • Provide litigation support through court filings, managing case files, preparing legal documents;
  • Proactively ensure legal team is prepared with necessary materials for meetings and depositions;
  • Provide marketing assistance by managing alerts, updates, creating PowerPoints and spreadsheets;
  • Demonstrate good judgment and professionalism, and exhibit flexibility and versatility to provide support;
  • Demonstrate strong reasoning and resolution skills;
  • Perform special projects as required to increase the professional effectiveness and efficiency of the legal team.

Qualifications and Competencies
  • Minimum of three years of experience as a legal assistant with at least one year of litigation experience;
  • Minimum of a high school diploma;
  • Mastery of Microsoft Word - including creating and manipulating styles, using keyboard shortcuts, auto-numbering paragraphs, hyperlinking to other documents, creating tables of contents, tables of authorities, footnotes, and tables;
  • Mastery of Microsoft Outlook, including managing multiple attorney calendars;
  • Significant experience with Microsoft Excel - including knowing how to sum a column of numbers, hide and display columns and rows, do custom sorts and filters, and average a column of numbers;
  • Significant experience with Adobe Acrobat Professional - including the ability to rearrange pages, link to other PDF's and websites, manage passwords/security, insert pages, create signature stamps, add footers and headers, create bookmarks, and combine several PDFs into a single portfolio;
  • Significant experience with Microsoft PowerPoint - including inserting pictures and video, creating templates, rearranging slides;
  • Knowledge of the Federal Court ECF system and experience filing pleadings;
  • Knowledge of the Indiana electronic court filing system;
  • Experience with a server-based document management system - I-Manage/File Site preferred;
  • Able to type from dictation.
