Job Summary:
Join our compassionate and collaborative team as a Program Assistant, where you will play a vital role in supporting the daily operations of an interdisciplinary behavioral health team. This position offers the opportunity to contribute to client care by ensuring efficient coordination of nonclinical operations, managing administrative processes, and serving as a central point of communication for clients, staff, and community partners. If you are organized, detailoriented, and passionate about supporting individuals in recovery, this role allows you to make a meaningful impact in a fastpaced, missiondriven environment.

In this role, you will assist with scheduling, intake coordination, communication support, and administrative oversight while collaborating closely with the ACT TAY multidisciplinary team to ensure services are delivered effectively and efficiently.

Key Responsibilities:
Prepare and maintain daily, weekly, and monthly schedules for clients and team activities
Participate in daily team staffing meetings and support coordination of services
Manage intake processes, including completing admission documentation accurately and timely
Maintain client charts in accordance with regulatory and organizational standards
Record admissions and discharges and assist with preparation of statistical reports
Collect and track data for reporting and program monitoring purposes
Serve as a primary point of contact for clients, families, and community agencies
Provide reception support including greeting visitors and managing incoming calls
Triages calls and assists in deescalating situations until clinical staff are available
Facilitate communication between team members, clients, and external partners
Provide administrative support to ensure smooth program operations
Maintain and monitor phone systems, office equipment, and supplies
Coordinate vehicle usage, track mileage, and arrange maintenance as needed
Support compliance with agency policies and assist with updates when necessary
Ensure accurate and thorough completion of screening and admission paperwork
Perform other duties as assigned by leadership

Education, Experience, and/or Credential Qualifications:
Education and/or experience in human services, office management, or a related field preferred

Additional Qualifications:
Must have a valid driver's license with an acceptable driving record and current auto insurance
Strong organizational skills and attention to detail
Ability to manage multiple tasks and meet deadlines in a fastpaced environment
Strong communication and interpersonal skills
Ability to work effectively with diverse populations
Proficiency in Microsoft Office applications (Word, Excel, PowerPoint)
Ability to maintain confidentiality and handle sensitive information appropriately

Ability to exert up to 10 pounds of force occasionally
