Office Manager

We are partnering with a well-established and respected Connecticut construction company to identify an experienced Office Manager who thrives in a fast-paced environment. This is a key leadership position responsible for overseeing accounting operations, payroll, human resources administration, compliance, and office management while working closely with company leadership.

Key Responsibilities

Payroll & Accounting

  • Process weekly payroll for office staff and union employees
  • Manage payroll tax filings and related compliance
  • Prepare certified payroll reports
  • Oversee accounts payable and accounts receivable
  • Process AIA billings and payment applications
  • Perform bank reconciliations
  • Prepare journal entries
  • Complete month-end close activities
  • Maintain accurate job costing records and financial reconciliations

Financial Administration

  • Coordinate union payments
  • Administer 401(k) contributions and reporting
  • Process bonuses and profit-sharing programs
  • Assist with annual budgeting and year-end financial procedures
  • Complete annual tax reporting including W-2s, 1099s, 1095s, payroll tax filings, and sales/use tax reporting

Compliance & Reporting

  • Prepare quarterly payroll tax reports
  • Process CT Paid Leave reporting
  • Manage OCIP and CCIP reporting requirements
  • Coordinate OSHA reporting
  • Complete state prequalification documentation
  • Maintain regulatory and insurance compliance

Human Resources & Office Management

  • Onboard new employees
  • Administer employee benefits
  • Answer employee policy and benefit questions
  • Coordinate health insurance renewals
  • Support compensation administration
  • Supervise the Accounts Payable Assistant
  • Maintain personnel records

Operations Support

  • Partner closely with company leadership
  • Support Project Managers and Construction Managers
  • Assist with bid documentation and project prequalification packages
  • Maintain relationships with subcontractors and vendors
  • Manage cash receipts and general office administration
  • Perform additional administrative and operational duties as needed
Qualifications
  • Bachelor's degree in Accounting, Business Administration, Finance, or related field preferred
  • Equivalent combination of education and 10+ years of related experience will be considered
  • Experience in construction accounting or construction administration strongly preferred
  • Knowledge of certified payroll, union payroll, AIA billing, and job costing
  • Strong understanding of payroll processing and accounting principles
  • Advanced Microsoft Excel skills
  • Proficiency with Microsoft Office and Adobe Acrobat
  • Excellent organizational and time-management abilities
  • Strong attention to detail and accuracy
  • Professional communication and interpersonal skills
  • Ability to manage multiple deadlines in a fast-paced environment
  • High level of integrity and confidentiality
