Overview

Reporting to the General Manager, the Assistant General Manager is responsible for the professional leasing and administration of a Centurion Property Associates Inc. │The MARQ managed student housing community.


The Assistant General Manager is accountable for showing available units, qualifying prospective Residents, and successfully negotiating leases to achieve optimum value for Centurion Property Associates Inc. │ The MARQ.


Responsibilities


Relationship Development

Develop and foster positive relationships with internal and external stakeholders. Ensure proactive timely resolution of staff, Contractor, Vendor, and Consultant performance issues.


Customer Service

Professionally and courteously handle all Resident inquiries, feedback, complaints or concerns, and escalate any issues to the Property Manager. Ensure a high level of Resident satisfaction is achieved through constant and consistent attention to Centurion’s Vision, Mission and Values. Promote a strong sense of community.


Ongoing Operations

Operate properties consistent with the expectations of the management contract and approved annual budgets. Be responsible for ensuring all Centurion Property Associates’ policies and procedures are adhered to; constantly motivate and develop site staff, managing performance to established standards. Authorize Work Orders and Purchase Orders to approved limits, being cognizant of year-to-date expenditure and approved annual budgets. Review and approve invoices according to standard policies and procedures. Review and approve new leases according to established approval criteria. Ensure the timely collection of rent; initiate follow-up where payments are not made and initiate and attend to legal and collection as required. Continually review and evaluate the market rates for each property, ensuring revenues are optimized in the competitive environment. Complete regular site inspections of properties including vacant apartments, building common areas and plant operations to identify opportunities, and report any concerns or deficiencies promptly to Property and Asset Management. Review apartments at turnover and prepare a scope of work consistent with established standards. Ensure preventative maintenance is scheduled and completed. Monitor service contract performance. Ensure compliance with all legislation, including but not limited to: the Residential Tenancies Act, Labour Relations Act, Fire Code and Occupational Health and Safety Act.


Administration and Reporting

Assist in completing the required operating and financial reporting including detailed monthly property reports and variance analysis. Ensure all general emails are responded to daily. Complete weekly availability and traffic reporting as required. Develop and remit quarterly re-forecasts and annual budgets according to established timelines; assist the Director of Technical Services with preparation of capital budgets including the development of five year capital plans for each site. Maintain an orderly office area, including proper filing of all hard and soft copy documentation and correspondence. Assist with any Asset Management analysis and reporting as required. Complete any other reporting consistent with requirements of the property management contract. Complete other duties as assigned.


Sales and Marketing

Assist with the development and implementation of sales and marketing initiatives. Identify a variety of lead generation tactics to increase The MARQ product recognition in the student rental space. Maintain a constant awareness of the competitive environment for similar products, conducting further research where required to obtain a full understanding of competitive market positioning.


Risk Management

Ensure ongoing compliance with current codes, technical safety standards and legislation. Assist with effective and prompt resolution of municipal and provincial work orders. In cooperation with insurance entities, assist with the completion of quarterly or annual risk assessments, incorporate into capital or operations planning and implement as required to mitigate risk.

Requirements

  • Post-secondary degree/diploma in accounting or related field;
  •  A passion for excellence in customer service delivery;
  • Minimum 2 years’ property management experience is required;
  • Exceptional written and oral communication skills;
  •  Excellent organizational skills with a strong ability to multi-task;
  • Strong interpersonal skills;
  • Strong command of MS Office products: Word, Excel, PowerPoint;
  • Detail-oriented; able to resolve problems using facts, sound reasoning and common sense;
  • Forward thinking with an ability to develop creative strategic solutions to issues;
  • Strong follow-up skills with the ability to effectively resolve difficult issues in a timely manner; and
  • Experience with Yardi property management systems considered an asset.
