Position Title: Member Learning & Experience Coordinator

Position Summary
The Member Learning & Experience Coordinator supports the planning, coordination, and execution of member programs and events across in-person, virtual, and hybrid formats. This role helps deliver a high-quality member and speaker experience by coordinating event logistics, managing webinars, supporting speakers, and providing administrative support to the Member Learning & Experience team.
Core Duties & Responsibilities
- Support planning for conferences, board meetings, all-team meetings, fly-ins, webinars, and other assigned events across in-person, virtual, and hybrid formats.
- Support event planning and execution by maintaining timelines, tracking deliverables, preparing materials, coordinating stakeholders, and assisting with onsite or day-of logistics.
- Manage webinar operations, including scheduling, platform setup, registration support, attendee communications, speaker preparation, live-session support, and post-event follow-up.
- Coordinate speakers for the team across assigned programs, including outreach, scheduling, confirmations, collection of bios and headshots, presentation materials, and pre-event communications.
- Serve as a point of contact for speakers and help ensure they are prepared, informed, and supported throughout the event lifecycle.
- Coordinate speaker readiness activities, including briefing materials, rehearsal scheduling, presentation review, and onsite or virtual event support.
- Provide event-related customer service by responding to attendee questions, resolving issues, supporting registration-related needs, and helping create a positive event experience before, during, and after programs.
- Build out and maintain event apps for assigned programs, including content updates, agenda details, speaker information, attendee resources, and other event-related information.
- Help ensure event app content is accurate, timely, user-friendly, and aligned with the overall attendee experience.
- Provide administrative support to the Member Learning & Experience department, including calendar management, meeting scheduling, file organization, document preparation, and deadline tracking.
- Maintain accurate event, speaker, and program records, along with templates, trackers, and other departmental documentation.
- Communicate and coordinate with internal teams, external partners, vendors, speakers, and other stakeholders to support smooth execution and a consistent experience.
- Assist with post-event and post-webinar activities, including distributing materials, collecting feedback, documenting next steps, and supporting continuous improvement efforts.

- Ability to manage event technology and digital event tools, including event apps, webinar platforms, and registration systems.
- Proficiency with AMS/CRM systems and Microsoft Office
- Excellent written and verbal communication skills
Qualifications & Experience
- 2+ years of experience in event coordination, conference support, webinar management, program administration, or related project coordination roles required.
- Experience coordinating speakers, presenters, or facilitators for events, webinars, or educational programs preferred.
- Experience providing customer service or attendee support in an event, conference, or program environment preferred.
- Experience working in an association, nonprofit, member-based organization, professional services, or related environment preferred.
- Experience supporting webinars or virtual events, including platform setup, attendee communications, and live-event troubleshooting preferred.
Salary Range $60,000-$70,000 (depending on skills and relevant experience)
