This position will be based out of our new early learning center, Joyful Learning Academy, at 3025 Bethany Church Rd, Snellville.
License and Certification Qualifications:
  • None Required

Education Qualifications:
  • H.S. Diploma or General Education Degree or equivalent Required
  • Bachelor's Degree in related field Preferred

Experience Qualifications:
  • 3 years in an office/clerical environment Required
  • Experience in an early learning educational setting Preferred

Primary Responsibilities:
Assist in the organization, support, and coordination of programming in the Department of Early Learning and School Readiness.
  • Perform administrative duties for the Early Learning and School Readiness Office.
    • Align priorities with those of supervisor.
    • Manage concurrent tasks effectively and ensure that priorities are completed accurately by established deadlines.

    • Assist with the coordination of program office initiatives and record keeping.
    • Serve as the program office representative for various department, division, and/or district functions.
    • Assist with creation and distribution of materials.
  • Develop and maintain an effective operating partnership with supervisor.
    • Collaborate with supervisor on supervisor's schedule to ensure deadlines are met effectively.
    • Anticipate and effectively support supervisor's job related needs.
    • Maximize supervisor's time by organizing supervisor's incoming and outgoing materials effectively.
    • Handle routine matters while supervisor is out of the office.
    • Help supervisor cultivate a responsive, customer centered climate.
    • Represent supervisor in professional manner with internal and external contacts.
  • Perform clerical duties for the Early Learning and School Readiness Office.
    • Maintain an effective and efficiently run office.
    • Apply software and technology appropriately to produce quality documents and materials.
    • Maintain an appropriate production rate and streamline routine tasks to manage time effectively.
    • Efficiently organize work area and work in progress, to include testing materials, school test request processes, and community resources.
    • Maintain records and files related to program initiatives.
    • Collaborate with supervisor to develop efficient processes and communications between Early Learning and School Readiness Office and external groups.
    • Generate reports to provide data for department programs.
  • Perform financial and accounting duties for the Early Learning and School Readiness Office.
    • Prepare and maintain accurate and timely payroll/financial records and reports.
    • Assist in monitoring monthly budget print outs and submit balance for each line item to supervisor on a monthly basis.
    • Assist in reconciling monthly purchase card statement and submit documents for each line item to supervisor on a monthly basis.
    • Assist with budget amendments and travel requests and review for accuracy.
    • Assist in preparing annual budgets.
    • Utilize district process and application for procurement of department supplies and materials.
    • Submit miscellaneous payroll as needed.
  • Communicate with other people in a businesslike, courteous, and efficient manner.
    • Cooperate with and maintain a positive relationship with division, department, and program office staff and with all other school system employees.
    • Support supervisor by being knowledgeable of department programs, procedures, and information needed to assist in program office functions.
  • Establish effective public relations.
    • Represent the division, department, and program office professionally in all aspects of communication.
    • Serve as the first line customer service contact for the Early Learning and School Readiness Office.
    • Handle internal and external contacts, including the public, graciously and effectively.
    • Establish a professional reputation as businesslike, courteous, and responsive to customer needs.
    • Link internal and external contacts requesting information with appropriate personnel.
    • Research, review and respond to customer inquiries in an accurate and timely manner.
