Landscape Sales & Estimating Coordinator

Green Vine Landscaping, Inc. is a growing, well-organized landscape construction and maintenance company serving Sonoma, Marin, Napa, and surrounding counties, with offices in Santa Rosa and Petaluma. We specialize in high-quality residential and commercial landscape installation, enhancements, irrigation, and hardscape projects.

We are looking for a self-driven, trustworthy, and detail-oriented Sales & Estimating Coordinator to manage incoming leads, walk projects, prepare estimates, and guide clients through the pre-construction process while helping us maintain our strong reputation and profitability.

COMPENSATION

  • Base + Commission
  • Target total compensation: $85,000-$95,000
  • Top performers / high achievers can earn up to $150,000+ annually

YOUR MISSION

Provide an exceptional client experience while maximizing revenue and gross margin through accurate estimating, timely follow-up, and clear communication between clients and operations.

WHAT YOU'LL DO

Core Responsibilities (70-80%)

  • Walk residential and light commercial properties to evaluate scope, take measurements, and gather client preferences
  • Prepare accurate and timely estimates using company systems and standards
  • Clearly explain scope, pricing, and timelines to clients
  • Follow up consistently to answer questions and close projects
  • Maintain organized records of estimates, revisions, and communications

Light Project Coordination (20-30%)

  • Prepare clean handoffs to production (scope notes, material lists, job walk information)
  • Communicate basic job timing and expectations with clients
  • Assist with collecting deposits and progress payments per contract terms
  • Support project managers or foremen by relaying client questions or concerns when needed

WHAT THIS ROLE IS NOT

  • Not supervising crews daily
  • Not managing daily crew schedules or production tasks
  • Not performing physical installation labor
  • Not responsible for hiring or firing

Green Vine has established systems, SOPs, and leadership support in place-you will not be expected to "figure it out on your own."
