Job description

We are hiring an Office Manager on behalf of our client, a top tier construction and property services firm. This role manages daily business operations, administrative workflows, employee training, and vendor partnerships while overseeing financial record-keeping and payroll processing.
Location: Sterling, VA
Schedule: Mon-Fri, 6:00A - 2:30P
Compensation: $21.00-$28.00 / Hour DOE
Responsibilities

  • Oversee all daily office activities, maintain digital/physical filing systems, and perform clerical functions to ensure smooth operational workflows.
  • Manage all accounts receivable and accounts payable functions using QuickBooks. Process invoices accurately across specialized construction management platforms (Jobber and Textura).
  • Process employee payroll accurately and promptly, and develop and deliver structured training programs for office staff.
  • Manage ongoing vendor relationships and negotiate service contracts to optimize operating costs.
  • Handle incoming phone calls with professional phone etiquette, organize master schedules/appointments, and maintain clear communications across internal teams and external parties.


Qualifications and Key Skills

  • Minimum of 2 years of proven office management experience, preferably supporting construction or trade service operations.
  • Minimum of 1 year of hands-on experience using QuickBooks for financial management.
  • Demonstrated proficiency with software applications, including ADP, Microsoft Excel, Microsoft Office, Google Suite, Jobber, and Textura.
  • Solid understanding of full-cycle accounts payable, accounts receivable, and payroll processes.
  • Strong organizational, multitasking, and time-management skills to prioritize daily demands in a dynamic work environment.
  • Professional written and verbal communication abilities paired with exceptional interpersonal skills.
  • Reliable, punctual, and able to work onsite in Sterling, VA.
