Summary of the Position
Best Equipment is seeking a highly organized and detail-oriented Inventory Specialist to support our Sales Operations and Inventory Management team. This position is responsible for managing the lifecycle of equipment inventory from order placement through delivery and sale. The Inventory Specialist will maintain accurate records, track inbound equipment, coordinate with vendors and internal departments, create and manage asset files, and ensure all inventory data is accurate and up to date.
The ideal candidate thrives in a fast-paced environment, possesses strong organizational skills, and can effectively manage multiple priorities while maintaining a high level of accuracy.
Key Responsibilities
Inventory Management
  • Manage inventory assets and maintain accurate equipment records throughout the asset lifecycle.
  • Process equipment arrivals, inventory updates, and asset tracking within company systems.

Equipment Tracking & Logistics
  • Track inbound equipment, ETA dates, manufacturer lead times, and inventory movements.
  • Coordinate equipment logistics and maintain transportation, dispatch, and delivery records.

Administrative & Sales Support
  • Support the sales team with equipment availability, status updates, and delivery documentation.
  • Maintain communication with manufacturers, vendors, and transportation partners.

Documentation & File Management
  • Maintain equipment files, warranties, invoices, and supporting documentation.
  • Ensure accurate recordkeeping and support continuous improvement of inventory management processes.

Qualifications
Required
  • 2+ years of experience in inventory management, logistics, operations, administration, or a related field.
  • Excellent attention to detail and accuracy.
  • Proficiency in Microsoft Office Suite, particularly Excel and Outlook.
  • Ability to manage multiple projects and deadlines simultaneously.

Preferred
  • Experience with CRM, ERP, or inventory management systems.
  • Experience in heavy equipment, transportation, construction, trucking, or manufacturing industries.
  • Familiarity with Salesforce, Monday.com, or similar business management platforms.
  • Understanding of dispatch, fleet management, or equipment logistics processes.

Physical Demands and Work Environment:
  • Primarily office-based work.
  • Occasional movement throughout warehouse, yard, and service areas.
  • Ability to lift up to 25 pounds occasionally.
